Appointment Analysis Details Report

The Appointment Analysis Details Report is an attendance report that displays detailed information about appointments booked during the selected date range. This report can be used to gain a detailed picture of your appointment activity. The summary cards at the top of the page provide an overview of the key information in the report.

This article describes how to view the Appointment Analysis Details Report and provides details of the columns that appear in the report. To learn how to customize and filter the report, see Viewing a report.

    To view the Appointment Analysis Details Report:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Reports. You can filter the list by entering Reports into the Search field.
    4. On the Reports menu, click Attendance.
    5. On the Attendance menu, click Appointment Analysis Details. The Appointment Analysis Details Report is displayed.

    Summary cards in the Appointment Analysis Details Report

    Summary cardDescription
    ServicesThe total number of appointments scheduled during the selected date range.
    Avg Visits Per ServiceThe number of appointments that were attended by clients compared to the number of appointment bookings during the selected date range.
    AttendedThe total number of appointments that were attended by clients during the selected date range.
    BookedThe total number of appointments that have been booked during the selected date range. After the scheduled time for an upcoming booked appointment has passed, it will move to either the Pending, Late Cancels, No Shows, or Attended summary card.
    Late CancelsThe total number of clients marked as a late cancel during the selected date range.
    PendingThe total number of clients who are expected to attend an appointment during the selected date range but have not attended the appointment yet.
    No ShowsThe total number of clients marked as a no show during the selected date range. No shows are clients who missed an appointment without cancelling it.

    Headings in the Appointment Analysis Details Report

    HeadingDescription
    Service NameThe name of the appointment.
    Assigned ToThe staff member who is scheduled to conduct the appointment.
    Location NameThe location at which the appointment is scheduled to take place.
    DateThe date of the scheduled appointment.
    TimeThe time of the scheduled appointment.
    PendingThe number of unconfirmed clients that are expected to attend the appointment during the selected date range.

    [Note] The status of the service type that is automatically assigned to clients after the scheduled time of a service has passed depends on the default status set in your business policy settings.

    ClientThe name, email, and profile image of the client who the appointment was booked for. Relevant details about this customer, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.
    StatusThe client’s status for the appointment. This status represents actions taken on this appointment. Statuses may be Late Cancel, No Show, Booked, or Attended.
    NotesView, edit or add notes associated with the appointment. If you do not have the View Client Notes/SOAP Notes staff role permission, this column will be empty. If you have the permission, but it only applies to your own clients, you will only be able to view, edit, or add notes for your clients’ appointments in this column.

    Advanced filters in the Appointment Analysis Details Report

    NoteUse this filter to determine whether to show only appointments with the selected type of notes.
    Check-in StatusUse this filter to determine whether to include check-ins, late cancels, pending check-ins, or no shows in the report.
    Start Time RangeUse this filter to determine which appointments to include in the report based on the specific time range during which they occurred.
    Day of the WeekUse this filter to determine which appointments to include in this report based on the day(s) of the week they occurred.
    AppointmentsUse this filter to determine which appointment types to include in the report.
    Client StatusUse this filter to determine which clients to include in the report based on whether they currently have an active purchase option.
    Client TypesUse this filter to determine which clients to include in the report based on their client type.
    StaffUse this filter to determine which staff members to include in the report.
    LocationsUse this filter to determine which locations to include in the report.
