Balance Due Report

The Balance Due Report is a client report that displays a list of clients who have an outstanding balance on their accounts. From this report, you can email invoices to your clients, print invoices, and process payments towards clients’ outstanding account balances.

This article describes how to view the Balance Due Report and provides details of the columns that appear in the report. To learn how to customize and filter the report, see Viewing a report.

NoteThe Balance Due Report does not display clients who have no account balance history with your business. For example, if a client has never used their account balance as a payment method with your business and your business has never credited the client’s account balance, this client will not appear in the Balance Due Report.

In this article:

    To view the Balance Due Report:

    1. Click the App Drawer button .
    2. In the App Drawer, click Reports.
    3. On the Reports menu, click Clients.
    4. On the Clients menu, click Balance Due. The Balance Due Report is displayed.

    To invoice clients from the Balance Due Report:

    1. In the Email column, click the Invoice button for the client you are invoicing.
    2. In the confirmation popup, click OK. The invoice is emailed to the client.

    To print an invoice from the Balance Due Report:

    1. Under the Preview Invoice column, click Preview. A preview of the invoice is displayed in a new window.
    2. Click Print.
      • If there is no print button, you will need to add the [ButtonPrint] email variable to the Invoice email template. For more information, see Email Variables.

    To make a payment towards a client’s account balance from the Balance Due Report:

    1. In the Invoice column, click the Charge button for the client you are making a payment for.
    2. In the DEBIT AMOUNT box, enter the amount being paid towards the client’s account balance.
    3. Select the payment method that you want to use. Enter any necessary payment information.
    4. Click COMPLETE.

    Headings in the Balance Due Report

    HeadingDescription
    ClientThe name, email, and profile image of the client. Relevant details about the client, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.
    First NameThe client’s first name.
    Last NameThe client’s last name.
    EmailThe client’s email address.
    Phone NumberThe client’s mobile phone number.
    Member IDThe client’s member ID.
    Last PurchaseThe last item purchased by the client. This includes purchases made on behalf of other clients.
    Last VisitThe last service that the client attended at your business.
    Client AlertsIf an alert has been placed on the client’s profile, the Alert icon  is displayed in this column.  Hover over the icon to view the details of the alert.
    Outstanding AmountAny membership payment a client owes to the business.
    Account BalanceThe client’s account balance.
    StatusThe client’s client type.
    Preview InvoiceClick the link in this column to open a new window with a preview of the invoice that can be emailed to the client. You can also print the invoice from the preview window.
    Email InvoiceClick the Invoice button in this column to email the invoice to the client.

    Click the Charge button  in this column to make a payment on the client’s account balance.

    Advanced Filters in the Balance Due Report

    FilterDescription
    Home LocationUse this filter to determine which clients to include in the report based on the home location associated with their profile. This filter will only search for active locations, deactivated locations will not be displayed.
    Outstanding PaymentsUse this filter to determine which clients to include in the report based on the amount they owe to the business.
    Balance StatusUse this filter to determine which clients to include in the report based on whether their account balance is positive, negative, or zero.
    GroupsUse this filter to determine which clients to include in the report based on their client group.
    NoteThis filter will pull any relevant information from the available fields. For example, if you filter for groups A, B, and C, the filter will find clients from group A, group B, group C, and any combination thereof, as opposed to only finding clients who belong to all three groups.
    Client TypesUse this filter to determine which clients to include in the report based on their client type.
