Booking a class

After a class has been scheduled, you can book clients for the scheduled class. Additionally, you can make recurring bookings for classes on behalf of clients who want to attend the same class multiple times. For example, if a client wants to attend the same yoga class once a week for the next two months, rather than the client booking each class individually, staff members can easily book all the classes at once.

Notes
  • You can only book a class for a client from the QUICK Check-in for Today section of the Overview page if gym visits are set up as an available service in your business.
  • If the same class is scheduled more than once on the same day, and a staff member makes a recurring booking for a client, all the available sessions for the class will be automatically added to the recurring booking. The staff member making the booking must remove the unwanted sessions manually. For example, if you have two of the same spin classes led by different instructors scheduled at 10:00 a.m. on Monday, selecting one of the classes for a recurring booking will automatically include sessions for both instructors’ spin classes.
  • Clients with recurring bookings will appear in the ongoing class’s attendance list up to six months in the future, Changing the date, time, or adding a substitute instructor to an ongoing class will stop clients from being booked into future class sessions after six months.
  • Staff members can book classes for clients regardless of whether the client has completed the prerequisites for the class.

In this article:

    To book a class from a client’s profile:

    1. On the Top Nav Bar, click the Search button , and enter the client’s information in the box. You can enter the client’s name, phone number, email address, UID, or client ID.
    2. In the list of clients displayed, click the client’s name.
    3. On the Overview page, click Book and select Class.
    4. Find the class you want to book and click Book Now. You may have to adjust the date range or use filters to find the class.
      • If the client’s age is outside of a specified age range for the class, a confirmation popup is displayed. To book the class anyway, click OK.
      • If the client is marked as flagged, in the Confirmation Required popup, click OK to continue the booking.
    5. Review the class and asset information and click NEXT.
      • If the client owns an applicable Purchase Option, the booking is complete. If not, continue with step 6.
    6. Decide when the client will pay for the class:
      • To pay for the class when the client visits:
        1. Select Pay When You Visit.
        2. Click COMPLETE.
      • To pay for the class now:
        1. Select an applicable Purchase Option to purchase to pay for the class and click NEXT.
        2. Review the cart, enter any discount codes next to the Discount Code field and click NEXT.
        3. Select each payment method that the client wants to use, such as Virtual Terminal, Card Swiper, Cash. In most cases, the total payment is split between the selected payment methods equally, but you can adjust the amounts as required. If you select Gift Cards, you must enter the required code, and the amount on the gift card will be entered automatically. To apply a payment plan for the class, see Applying a payment plan at checkout.
        4. Click COMPLETE.

    To book a recurring class:

    1. On the Top Nav Bar, click the Search button , and enter the client’s information in the box. You can enter the client’s name, phone number, email address, UID, or client ID.
    2. In the list of clients displayed, click the client’s name.
    3. On the Overview page, click Book and select Class.
    4. Find the class you want to book and click the Recurring Booking button . You may have to adjust the date range or use filters to find the class.
      • The Recurring Booking button  is only available when the schedule is viewed in List. For more information, see Schedule views.
      • If the client’s age is outside of a specified age range for the class, a confirmation popup is displayed. To book the class anyway, click OK.
      • If the client is marked as flagged, in the Confirmation Required popup, click OK to continue the booking.
    5. Under ENDS, select the number of classes to book:
      • To make a recurring booking for a certain number of classes, select NUMBER OF BOOKED CLASSES and enter the number of classes you want to book.
      • To make a recurring booking for classes over a specific time period, select BOOK FROM ___ TO ___and select a start and end date in the date fields.
      • To make an ongoing recurring booking for classes that repeats indefinitely, select NO END DATE.
        • When no end date is selected, the system books recurring classes for six months. After one month, and every month thereafter, the system books another month of classes to maintain six months of future bookings for the client. For example, if on January 1, you book a weekly recurring class with no end date, the system will automatically book classes from January 1 to June 30. On February 1, the system will automatically book classes for the month of July, and so on.
    6. Under REPEATS EVERY:
      1. Enter the number of daysweeks, or months on which this class will recur.
      2. Select daysweeks, or months from the list to determine how often the booking will reoccur.
    7. Under REPEATS ON, select the day(s) of the week on which the booking will reoccur.
    8. Confirm the booking information is correct. Under BOOKED SESSION, the dates of all booked sessions are displayed.
    9. If the client was added to any waitlists, this will be displayed under ADDED TO WAITLISTS.
    10. Click BOOK.
    11. In the confirmation popup, click OK. The recurring booking is complete.

    To book a class from the schedule:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Schedule. You can filter the list by entering Schedule into the Search field.
    4. Select the class you want to book and click View Attendance list. You may have to adjust the date range or use filters to find the class
    5. Click QUICK ADD.
      • To determine how the client will pay for the class, click the Attendance options button  next to the search bar that appears. To prevent the search bar from minimizing, set the Lock Search Bar option to ON.
      • To book the class without requesting payment, select Add unpaid. If the client owns an applicable Purchase Option, it will be used to pay for the class.
      • To book the class and charge payment to the client’s account balance, select Add and charge account.
      • To book the class and make an immediate payment, select Add and Pay now.
    6. Enter the client’s information in the box. You can enter the client’s name, phone number, email address, UID, or client ID.
    7. In the list of clients displayed, click the client’s name.
      • If the client’s age is outside of a specified age range for the class, a confirmation popup is displayed. To book the class anyway, click OK.
      • If the client is marked as flagged, in the Confirmation Required popup, click OK to continue the booking.
      • If the client owns one or more Purchase Options that can be used to pay for the class, select the Purchase Option that should be used from the list, and click OK. The booking is complete.
      • If the client does not own one or more Purchase Options that can be used to pay for the class, you can book a client as unpaid and ask the client to pay later. In the confirmation popup, click Yes.
        • To pay for a visit:
          1. Click the Pay Now button .
          2. In the confirmation popup, click OK.
          3. Select an applicable Purchase Option to pay for the class.
          4. Review the cart and enter any discount codes. Click Proceed to Checkout.
          5. Select the payment method and enter the client’s payment information. If you want to apply a payment plan for the class, see Applying a payment plan at checkout.
          6. Review the cart and then click Complete.

    To book a class scheduled for today:

    1. On the Top Nav Bar, click the Search button , and enter the client’s information in the box. You can enter the client’s name, phone number, email address, UID, or client ID.
    2. In the list of clients displayed, click the client’s name.
    3. On the Overview page, next to QUICK Check-in for Today, select a location.
    4. Book the class for the client.
      • Click Check-In.
        • If the client does not have a Purchase Option that can be applied to this class, the client will be checked in to the class unpaid.
        • If the client has a Purchase Option that can be applied to this class, the Purchase Option will automatically be applied and the client will be checked in to the class.
        • If the client is marked as flagged, in the Confirmation Required popup, click OK to continue the booking.
      • Click Pay & Check-In.
        1. Review the class information and click NEXT.
        2. Decide when the client will pay for the class:
          • To pay for the class when the client visits:
            1. Select Pay When You Visit.
            2. Click COMPLETE. The client is checked in to the class.
          • To pay for the class now:
            1. Select an applicable Purchase Option to purchase to pay for the class and click NEXT.
            2. Review the cart. Next to Discount Code, enter any discount codes and click NEXT.
            3. Select each payment method that the client wants to use (e.g., Virtual Terminal, Card Swiper, Cash). In most cases, the total payment is split between the selected payment methods equally, but you can adjust the amounts as required.             4. Click COMPLETE. The client is checked in to the class.
