Canceling an event booking

You can cancel a booked event for an individual client from the schedule. Clients can cancel their event booking through either the Client Web App or Achieve Client App.

When canceling an event booking, keep in mind the following information:

  • If a visit that is paid for with a session pass or a membership is marked as Early Cancel, the visit will return to the session pass or membership. Returned visits won’t automatically pay for existing unpaid visits. To use a session pass or membership to pay for an unpaid visit you must reconcile the visit. For more information, see Reconciling an unpaid visit.
  • Enabling the Event Booking Canceled by Staff notification will automatically select the checkbox to send the related notification to the affected clients when a staff member is canceling an event booking. If the Event Booking Canceled by Staff notification is disabled, the staff member must manually select which notifications to send to the affected clients.

In this article:

    To cancel a single event booking:

    1. On the Top Nav Bar, click the Search button , and enter the client’s information in the box. You can enter the client’s name, phone number, email address, UID, or client ID.
    2. In the list of clients displayed, click the client’s name.
    3. On the side menu, click Attendance.
    4. On the Attendance menu, click Upcoming Schedule.
    5. In the list, find the event you want to cancel. You may have to browse the list, use the Search option, or filter the list to find the event.
    6. Under the ACTION column, click the Action button The more button displayed at the top of reports. The button is a square with three vertical blue dots and a blue border. and select Cancel Session.
    7. In the confirmation popup, click OK.

    To cancel multiple event bookings:

    1. On the Top Nav Bar, click the Search button , and enter the client’s information in the box. You can enter the client’s name, phone number, email address, UID, or client ID.
    2. In the list of clients displayed, click the client’s name.
    3. On the side menu, click Attendance.
    4. On the Attendance menu, click Upcoming Schedule.
    5. In the list, select the checkboxes to the left of the events you want to cancel.
    6. Click Early Cancel Selected.
    7. In the confirmation popup, click OK.

    To cancel event bookings from the enrollment list:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Setup. You can filter the list by entering Setup into the Search field.
    4. On the Setup menu, click Services.
    5. On the Services menu, click Events.
    6. On the Events page, click the booked event you want to cancel. You may have to browse the list, use the Search option, or filter the list to find the booked event. 
    7. Click MANAGE SCHEDULE. 
    8. Next to the event instance for which you want to cancel bookings, click Enrollment List.  
    9. Select the checkbox on the top right hand corner of each event session you want to cancel.
    10. Click Remove client(s) from the Event Session(s). 
    11.  Under NOTIFICATION OPTION, set the Inform the clients that their visit was canceled option to ON to notify the clients of the cancellation. Your options are Via Email, Via SMS, and Via Push
    12. Click the View/Edit Message button to edit the email, SMS, or push notification before sending it to the client.
    13. Click Yes, Remove to cancel the client’s event session.
