Canceling and restoring a scheduled class

You can cancel a scheduled class from the setup menu or the schedule. If you cancel a class by mistake, you can always restore the class from the schedule; however, you must manually add clients to the restored class session again.

When canceling a scheduled class, keep the following information in mind:

  • If you cancel a class after a client’s attendance status has been updated to Late cancel, the client’s attendance status will automatically be changed to Early cancel. The cost of the visit will be refunded to the client, but the late cancellation charges will not be refunded. You must manually issue the late cancellation refund to the client.   • If a class is accidentally canceled and you have a Class Canceled or Recurrent Class Canceled notification enabled, you can search or filter the Email History Report to see which clients were affected by the cancellation. If a client has the notification disabled in their communication settings, their information will not be displayed in the report.
  • If the Display as canceled on the schedule setting is set to ON, clients will be able to view canceled classes on the Class Booking page in their Achieve Client App.

In this article:

    To cancel a class from the setup menu:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Setup. You can filter the list by entering Setup into the Search field.
    4. On the Setup menu, click Classes.
    5. In the list, find the class you want to modify. You may have to browse the list, use the Search option, or filter the list to find the class.
    6. Under CLASSES SCHEDULED, click Add/Modify.
      • Alternatively, you can click on the class and on the Edit page, click MANAGE SCHEDULE.
    7. Under the Action column, click the More button and then click Cancel.
    8. Select the time period for which you want to cancel the class. You can choose to cancel all future sessions or selected sessions.
      • To cancel all future class sessions, select the All sessions going forward
      • To cancel multiple sessions over a date range, clear the All sessions going forward checkbox and specify a start and end date for the cancellation.
    9. Click NEXT.
    10. Under ADD OTHER SESSIONS, click Add beside the additional class sessions to cancel them for the specified time period. This only applies to recurring class sessions.
    11. Under Are clients & staff impacted?, select which type of notification to send to the affected staff members and clients.
    12. Click NEXT.
    13. Set the Display as canceled on schedule option to ON to display the class as canceled on the schedule.
    14. Click COMPLETE.

    To cancel a class from the schedule:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Schedule. You can filter the list by entering Schedule into the Search field.
    4. Switch to Calendar view or List view The list view button.
    5. Find the class you want to cancel. You may have to adjust the schedule’s filters and date range to find the class.
    6. Next to the class’s name, click the More button and then click Cancel Class.
    7. Cancel class sessions on a single day or on multiple days. Choose one of the following options:
      • Single day – Select this option to cancel a single session and enter the date for the cancellation.
      • Multiple days – Select this option to cancel multiple sessions. You can choose to cancel all future sessions or selected sessions.
        • To apply the change to all future sessions, select the All sessions going forward
        • To apply the change to multiple sessions over a date range, clear the All sessions going forward checkbox and specify a start and end date for the cancellation.
    1. Click NEXT.
    2. Under ADD OTHER SESSIONS, click Add beside the additional class sessions to cancel them for the specified time period. This only applies to recurring class sessions.
    3. Click NEXT.
    4. Under Are clients & staff impacted?, select which notifications to send to the affected staff members and clients.
    5. Click NEXT.
    6. Set the Display as canceled on schedule option to ON to display the class as canceled on the schedule.
    7. Click COMPLETE.

    To restore a canceled class from the schedule:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Schedule. You can filter the list by entering Schedule into the Search field.
    4. Switch the schedule to List view The list view button.
    5. Find a canceled class that you want to restore. You may have to browse the list, use the Search option, or filter the list to find the class.
    6. Click the More button  for the canceled class.
    7. Click Restore canceled classes.
    8. Restore sessions on a single day or on multiple days. Choose one of the following options:
      • Single day – Select this option to restore a single class session and enter the date of the class to be restored.
      • Multiple days – Select this option to restore multiple class sessions. You can choose to restore all future sessions or selected sessions.
        • To apply the change to all future sessions, select the All sessions going forward
        • To apply the change to multiple sessions over a date range, clear the All sessions going forward checkbox and specify a start and end date where the change applies.
    1. Click NEXT.
    2. Under ADD OTHER SESSIONS, click Add beside the additional class sessions to restore them for the specified time period. This only applies to recurring class sessions.
    3. Click NEXT.
    4. Click COMPLETE.
