Canceling and restoring an event

You can cancel a scheduled event from the setup menu or the schedule. If you cancel an event by mistake, you can restore the event from the schedule. However, you must manually add clients to the restored event sessions again.

NoteIf you cancel a event after a client has late canceled their booking for the event, the client’s cancellation will automatically be changed to an early cancellation. Purchase Option visits used to pay for the service will be returned to the client, but late cancellation fees charged based on your business policies will not be automatically refunded. To refund these fees, you must manually issue the refund to the client.

In this article:

    To cancel an event from the setup menu:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Setup. You can filter the list by entering Setup into the Search field.
    4. On the Setup menu, click Services.
    5. On the Services menu, click Events.
    6. In the list, find and click the event you want to cancel. You may have to adjust the schedule’s filters and date range to find the event.
    7. On the Edit page for the event, click MANAGE SCHEDULE.
    8. Under the Action column, click the Action button and select Cancel.
    9. Cancel event sessions on a single day or on multiple days. Choose one of the following options:
      • Single day – Select this option to cancel a single session and enter the date for the cancellation.
      • Multiple days – Select this option to cancel multiple sessions. You can choose to cancel all future sessions or selected sessions.
        • To apply the change to all future sessions, select the All sessions going forward checkbox.
        • To apply the change to multiple sessions over a date range, clear the All sessions going forward checkbox and specify a start and end date for the cancellation.
    1. Click NEXT.
    2. If you chose to modify multiple sessions, under ADD OTHER SESSIONS, click Add next to any event sessions that you want to cancel for the specified time period. After selecting the sessions to cancel, click NEXT.
      • To remove a session under SELECTED SESSIONS, click the Remove button next to each session you don‘t want to cancel.
    3. To notify the affected clients of the cancellation, select the Send email to affected client, the Send SMS to affected client, and/or the Send push to affected client checkboxes.
      • To customize the notifications:
        1. Click Customize EmailCustomize SMS, or Customize Push depending on which notification you want to customize.
        2. Make any required changes to the notification template. For more information on customizing email notifications, see Automated email template settings and Email variables.
        3. Click NEXT. Your changes are saved automatically.
    1. Click NEXT.
    2. To display the event as canceled on the schedule, set the Display as canceled on schedule option to ON.
    3. Click COMPLETE.

    To cancel an event from the schedule:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Schedule. You can filter the list by entering Schedule into the Search field.
    4. Find and click the event you want to cancel. You may have to adjust the schedule’s filters and date range to find the event.
      • If you’re viewing the schedule in Calendar view, click the event on the schedule. Next to the event’s name, click the Options button and select Cancel Event.
      • If you’re viewing the schedule in List view, click the Options button next to the event and select Cancel event.
    5. Cancel event sessions on a single day or on multiple days. Choose one of the following options:
      • Single day – Select this option to cancel a single session and enter the date for the cancellation.
      • Multiple days – Select this option to cancel multiple sessions. You can choose to cancel all future sessions or selected sessions.
        • To apply the change to all future sessions, select the All sessions going forward checkbox.
        • To apply the change to multiple sessions over a date range, clear the All sessions going forward checkbox and specify a start and end date for the cancellation.
    1. Click NEXT.
    2. If you chose to modify multiple sessions, under ADD OTHER SESSIONS, click Add next to any event sessions that you want to cancel for the specified time period. After selecting the sessions to cancel, click NEXT.
      • To remove a session under SELECTED SESSIONS, click the Remove button next to each session you don‘t want to cancel.

    To restore an event from the schedule:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Schedule. You can filter the list by entering Schedule into the Search field.

    5. Find the event you want to restore. You may have to adjust the schedule’s filters and date range to find the event.
    6. Next to the event, click the Options button  and select Restore canceled sessions.
    7. Restore event sessions on a single day or on multiple days. Choose one of the following options:
      • Single day – Select this option to restore a single session and enter the date for the restoration.
      • Multiple days – Select this option to restore multiple sessions. You can choose to restore all future sessions or selected sessions.
        • To apply the change to all future sessions, select the All sessions going forward checkbox.
        • To apply the change to multiple sessions over a date range, clear the All sessions going forward checkbox and specify a start and end date for the restoration.
    1. Click NEXT.
    2. If you chose to modify multiple sessions, under ADD OTHER SESSIONS, click Add next to any event sessions that you want to restore for the specified time period. After selecting the sessions to restore, click NEXT.
      • To remove a session under SELECTED SESSIONS, click the Remove button next to each session you don‘t want to restore.
    3. Click NEXT.
    4. Click COMPLETE.
