Clients at Risk Report

The Clients at Risk Report is a client report that displays a list of clients who don’t have upcoming visits at your business and who haven’t attended services at your business in a certain amount of time. This amount of time is determined using the Include clients who have not visited in at least [x] [period] and Exclude clients who have not visited in longer than [x] [period] settings at the top of the report. These filters are set to one month by default. The summary cards at the top of the page provide an overview of the key information in the report.

    To view the Clients at Risk Report:

    1. Click the App Drawer button .
    2. In the App Drawer, click Reports.
    3. In the Reports menu, click Clients.
    4. In the side menu or in the list, click Clients at Risk. The Clients at Risk Report is displayed.
    5. Specify which clients to include in the report:
      1. At the top of the report, in the Client has not visited in [x] [period] text box, enter the minimum number of days, weeks, or months that must have passed since the client’s last visit to your business for the client to be included in the report. From the list, select day, week, or month to specify the time period.
      2. At the top of the report, in the Client is considered lost after [x] [period] text box, enter the maximum number of days, weeks, or months that must have passed since the client’s last visit to your business for the client to be included in the report. From the list, select day, week, or month to specify the time period.

    Summary cards in the Clients at Risk Report

    In addition to the summary cards listed in the table below, summary cards corresponding to any custom client types you have created will also be available.

    Active MemberThe total number of active members at risk based on your search criteria.
    Inactive Pass HolderThe total number of inactive pass holders at risk based on your search criteria.

    ProspectThe total number of prospects at risk based on your search criteria.

    Advanced filters in the Clients at Risk Report

    FilterDescription
    Client StatusUse this filter to determine which clients to include in the report based on whether they currently have an active purchase option.
    Upcoming VisitUse this filter to determine which clients to include based on whether they have any upcoming visits scheduled.
    GroupsUse this filter to determine which clients to include in the report based on their client group.
    NoteThis filter will pull any relevant information from the available fields. For example, if you filter for groups A, B, and C, the filter will find clients from group A, group B, group C, and any combination thereof, as opposed to only finding clients who belong to all three groups.
    LocationsUse this filter to determine which locations to include in the report.
    Day of the Last VisitUse this filter to determine which clients to include in this report based on the day(s) of the week their last visit occurred.
    ClassesUse this filter to determine which classes to include in the report.
    EventsUse this filter to determine which events to include in the report.
    AppointmentsUse this filter to determine which appointment types to include in the report.
    Client TypesUse this filter to determine which clients to include in the report based on their client type.
    Gym VisitsUse this filter to determine whether to include gym visits in the report.
    StaffUse this filter to determine which staff members to include in the report.
    Last Visit LocationUse this filter to determine which location the client most recently visited

    Headings in the Clients at Risk Report

    HeadingFilter
    ClientThe name, email, and profile image of the client. Relevant details about this client, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.
    Last VisitThe last service that the client attended at one of your locations, along with the date, time, and staff member for that service.

    By default, the report includes clients who haven’t visited in at least one month. Use the text boxes and drop-down menus at the top of the report to determine which clients appear in the report based on the number of days, weeks, or months.

    Last Visit LocationThe location that the client most recently attended.
    Upcoming VisitThe next visit the client has scheduled, along with the date, time, and staff member for that service.
    Upcoming Visit LocationThe location of the next service the client has scheduled.
    Purchase Option StatusThe status of the client’s purchase option. Possible statuses include:

    • On hold
    • Not on hold
    • No active purchase options

    If the client has multiple purchase options, the report will indicate On hold if at least one of the purchase options is on hold.
