Clients Sent to Collections Report

The Clients Sent to Collections Report is a client report that displays a list of clients who became eligible to be sent to Aldous & Associates for collections during the specified report period. Clients are eligible to be sent to collections when they have a negative balance on their account and haven’t made a payment for 90 days or more.

This article describes how to view the Clients Sent to Collections Report and provides details of the columns that appear in the report. To learn how to customize and filter the report, see Viewing a report.

 

NoteThis report is only available for businesses that have signed up for Collections.

In this article:

    To view the Clients Sent to Collections Report:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Reports. You can filter the list by entering Reports into the Search field.
    4. On the Reports menu, click Clients.
    5. On the Clients menu, click Clients Sent to Collections. The Clients Sent to Collections Report is displayed.

    Summary cards in the Clients Sent to Collections Report:

    The summary cards at the top of the page provide an overview of the key information in the report.
    Summary cardDescription
    Total ClientsThe total number of clients who were sent to collections. Note that if a client was sent to collections multiple times during the selected report period, each time counts towards this total.
    Total Amount ReportedThe total overdue amount reported to Aldous.

    Headings in the Clients Sent to Collections Report:

     

    HeadingDescription
    Date AddedThe date that the client was added to this report.
    Past Due SinceThe due date of the overdue amount.

    • If the client has made no payments, this is the date that the client’s account balance became negative.
    • If the client has made any partial payments, this is the date of the most recent partial payment.
    LocationThe business name of the client’s home location. This column is only displayed if your business has more than one location.
    Client UIDThe client ID of the client.
    ClientThe full name of the client. You can navigate to the client’s profile by clicking the link in their name.
    Street AddressThe client’s address.
    CityThe client’s city, state, and country.
    ZIP CodeThe client’s ZIP code.
    Cell NumberThe cell phone number of the client.
    Amount Reported to CollectionsThe amount that was reported to Aldous to be collected from the client.
    EmailThe client’s email address.
    StatusThe client’s current status for collections. Possible statuses are:

    • Pending – The client is eligible to be included in the next report that will be sent to Aldous, but the client’s information hasn’t yet been sent.
      • The report of eligible clients is sent to Aldous on the seventh day of each month.
    • Sent to Collections – The client’s information has been sent to Aldous.
    • Partially Paid – The client has made a partial payment against their outstanding balance.
    • Fully Paid – The client has paid the full amount that was reported to Aldous.
    Client Date of BirthThe client’s date of birth.
    Client Since DateThe registration date of the client.

    Advanced filters in the Clients Sent to Collections Report:

    FilterDescription
    LocationsUse this filter to determine which locations to include in the report.
    Client TypesUse this filter to determine which clients to include in the report based on their client type.
    GroupsUse this filter to determine which clients to include in the report based on their client group.
    NoteThis filter will pull any relevant information from the available fields. For example, if you filter for groups A, B, and C, the filter will find clients from group A, group B, group C, and any combination thereof, as opposed to only finding clients who belong to all three groups.
