Connecting a staff member’s Google Calendar

You can connect and sync a staff member’s Google Calendar with WellnessLiving. When connected, the staff member’s service bookings on the WellnessLiving schedule are added to their Google Calendar. If a virtual service is scheduled, the virtual meeting link will be automatically added to their Google Calendar as well.

Similarly, non-recurring events that a staff member creates in their Google Calendar can be synced to appear as unavailable time on the WellnessLiving schedule and the staff member’s working hours. The title of the event created on Google Calendar will appear as a note for the unavailable time on the staff member’s working hours. When creating an event in your Google Calendar, you must select WellnessLiving from the list of calendars for the event to sync with WellnessLiving.

Syncing a staff member’s Google Calendar with WellnessLiving has certain limitations. For more information, see Google and Outlook Calendar synchronization limitations.

CautionStaff members who connected their Google Calendars prior to two-way synchronization being implemented must disconnect and then reconnect their Google Calendars to WellnessLiving to enable two-way synchronization.

When connecting a staff member’s Google Calendar, keep in mind the following information:

  • A staff member must be signed in to their own account on WellnessLiving to connect their Google Calendar.
  • If a staff member is working at multiple businesses, they must connect their Google Calendar at each business to sync with each schedule.
  • If an error message appears when attempting to connect to your Google account, you’ll need to change your Google security settings to allow access to less secure apps. For more information, see Less secure apps & your Google Account on the Google Support website.
  • If a staff member has an appointment booked with a walk-in client, the appointment won’t appear on their Google Calendar.

In this article:

    To connect or disconnect a staff member’s Google Calendar:

    1. Sign in to WellnessLiving as a staff member.
    2. In the top-right corner, click your profile image.
    3. In the flyout menu, click Profile.
    4. On the side menu, click Profile Details.
    5. Connect or disconnect a staff member’s Google calendar.
      1. To connect a staff member’s Google Calendar,
        1. Click Google.
          • If you haven’t signed in to Google:
            1. Enter your email address. Then, click Next
            2. Enter your password. Then, click Next.
          • If you’re already signed in to Google, select the account you want to connect to your WellnessLiving account.
        2. Click Allow. Your Google and WellnessLiving accounts are connected. You can now use your Google account to sign in to WellnessLiving, and your WellnessLiving schedule now syncs with your Google Calendar.
      2. To disconnect a staff member’s Google Calendar:
        1. Click Google.
        2. In the Disconnect Account popup, click Disconnect.

    Creating an event in Google Calendar to sync with WellnessLiving:

    1. In a new browser window, open Google Calendar.
    2. On the top left, click Create and select Event from the list.
    3. In the Add Title field, enter a title for the event.
    4. Next to Time , set the date and time for the event.
    5. Next to Calendar , click the calendar name. A list of all the calendars you can create events for will appear.
    6. Select WellnessLiving from the list.
    7. Click Save.
