Creating or modifying a client retention campaign

A client retention campaign is a type of automated marketing campaign that can be used to maintain communication with your at-risk clients. After you create a client retention campaign template, you can send the email message to an individual client or a group of clients; templates can be modified before being sent to clients.

NoteYou can send a test email when editing a retention campaign template by clicking the SEND TEST EMAIL button and entering a receiving email address. When you send a test email, your client specific email variables will populate with placeholder information.
NoteEmails have a character limit of 102,400 characters.

In this article:

To create or modify a retention campaign:

  1. Click the App Drawer button .
  2. In the App Drawer, click Marketing.
  3. Under Client Retention:
    • To create a new retention campaign template, click Add next to Retention.
    • To modify an existing retention campaign template, click the Edit this template button .
  4. Under EMAIL SEND RULES, configure the following:
    • Under EMAIL SEND RULES, type a number in the Send email when the client hasn’t booked or checked in box and select days, months, or years from the list to define how long a client should be inactive before the campaign is triggered. In the at list, you can select Any location or you can select a specific location that will trigger the campaign. In the next list, you can select whether this campaign will trigger after a client has not attended Any location or a specific location for the specified amount of time.
    • To send this campaign to only specific client types, set the Send only to specific Client Types option to ON, and then set each client type to which you want to send the campaign to ON.
    • To send this campaign to only specific client groups, set the Send only to specific Client Groups option to ON, and then set each client group to which you want to send the campaign to ON.
      • If you have selected a client type and a client group, the email will send only to clients who fall under both categories.

  1. Under Compose Email, configure the email content. For more information, see Automated email template settings.
  2. Under Email Content, provide the body of the email message.
    • For information on how to use variables in the email message, see Email variables.
    • To add an image to the email message:
      1. Copy the URL of the image you want to add. You can only add images that are hosted online.
      2. Under Email Content, right-click where you want to insert the image.
      3. On the context menu, click Image. The Insert/edit image dialog box is displayed.
      4. Next to Source, paste the URL of the image.
      5. Next to Image description, provide a description of the image. The description will be displayed instead of the image for recipients who prevent their emails from displaying images.
      6. Next to Dimensions, enter the horizontal and vertical dimensions of the image in pixels, if desired. Select the Constrain proportions checkbox if you want the system to maintain the horizontal to vertical proportion when you resize the image. Clear the checkbox if you want to modify the dimensions freely.
      7. Click Ok.
  3. To activate the campaign, at the top of the page, set the ACTIVATE EMAIL option to ON.
  4. Click SAVE. The retention campaign is created.

To create or modify a few pass visits remaining campaign:

  1. Click the App Drawer button .
  2. In the App Drawer, click Marketing.
  3. Under Client Retention:
    • To create a new few pass visits remaining campaign template, click Add next to Few Pass Visits Remaining.
    • To modify an existing few pass visits remaining campaign template, click the Edit this template button .
  4. Under EMAIL SEND RULES, configure the following:
    • Type a number in the Send email when client has [#] remaining visits box to define how many visits a client should have left on a pass before this campaign is triggered.
    • To send this campaign to only specific client types, set the Send only to specific Client Types option to ON, and then set each client type to which you want to send the campaign to ON.
    • To send this campaign to only specific client groups, set the Send only to specific Client Groups to ON, and then set each client group option to which you want to send the campaign to ON.
      • If you have selected a client type and a client group, the email will send only to clients who fall under both categories.

To create or modify a pass or membership is expiring campaign:

  1. Click the App Drawer button .
  2. In the App Drawer, click Marketing.
  3. Under Client Retention:
    • To create a new pass or membership is expiring campaign template, click Add next to Pass or Membership is Expiring.
    • To modify an existing pass or membership is expiring campaign template, click the Edit this template button .
  4. Under EMAIL SEND RULES, configure the following:
    • Type a number in the Send email box to define when to trigger this campaign before a membership or pass expiration date.
    • To send this campaign to only specific client types, set the Send only to specific Client Types option to ON, and then set each client type option to which you want to send the campaign to ON.
    • To send this campaign to only specific client groups, set the Send only to specific Client Groups option to ON, and then set each client group option to which you want to send the campaign to
      • If you have selected a client type and a client group, the email will send only to clients who fall under both categories.

To create or modify an upcoming pass or membership renewal campaign:

  1. Click the App Drawer button .
  2. In the App Drawer, click Marketing.
  3. Under Client Retention:
    • To create a new upcoming pass or membership renewal campaign template, click Add next to Upcoming Pass or Membership Renewal.
    • To modify an existing upcoming pass or membership renewal campaign template, click the Edit this template button .
  4. Under EMAIL SEND RULES, configure the following:
    • Type a number in the Notice [#] day prior to pass or membership automatic renewal box to define how long before a membership or pass renewal date this campaign should be triggered.
    • To send this campaign to only specific client types, set the Send only to specific Client Types option to ON, and then set each client type to which you want to send the campaign to ON.
    • To send this campaign to only specific client groups, set the Send only to specific Client Groups option to ON, and then set each client group to which you want to send the campaign to ON.
      • If you have selected both a specific client type and a client group, the email will only send to clients who fall under both categories.
