Creating or modifying a Book-a-Spot asset layout

You can add or change a Book-a-Spot asset layout for any existing asset category. The layout will serve as a visual representation of the space where the class, appointment, or event will take place. For example, you can use this feature to show clients the layout of exercise bikes in a class, allowing them to choose their own bike before the service.

When a client books a service that requires them to book an asset, they can choose a specific asset from the layout rather than from a list. Additionally, staff members can view the asset layout and change a client’s assigned asset from the attendance list.

NoteIf you save an empty layout or a layout with shapes but no assets, the associated assets will be displayed in list view during the booking process.

In this article:

    To create a Book-a-Spot asset layout:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Setup. You can filter the list by entering Setup into the Search field.
    4. On the Setup menu, click Book-a-Spot.
    5. Next to the category you want to create a layout for, click Asset Layout.
    6. Under SELECTED ASSET BORDER, select the border color for each asset.
    7. Set the Display Title option to ON or OFF to display or hide the asset’s name.
    8. Set the Display Number option to ON or OFF to display or hide the numerical designation of the asset, such as exercise bike 5.
    9. Set the Snap to Grid option to ON to restrict asset placement to a grid format. Set the option to OFF to allow assets to be placed freely.
      • If Snap to Grid is set to ON, specify the size of the grid under GRID SPACING. This represents the number of rows and columns.
    10. Under ASSETS, drag and drop each desired asset into the layout section of the page.
    11. Click the SHAPES tab and scroll down to the Icons section to drag and drop additional objects into the layout page. You can use these shapes to represent the layout of the room, such as the location of fans in the room.
      • If an image is uploaded or a shape is used for the asset, the image or shape can be used on the asset layout instead of an icon.
    12. Click SAVE & EXIT.

    To view a client’s assigned asset from the attendance list:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Schedule. You can filter the list by entering Schedule into the Search field.
    4. In the Schedule, find the class or event for which you want to view the asset list, as follows:
      • If you are using Calendar View, click the class or event.
      • If you are using List View, in the Service column, click the name of the class or event.
    5.  In the class or event window, click View Attendance List. The attendance list is displayed.
    6. Under ASSET LAYOUT, click the name of the asset category. The asset layout is displayed. Assets already assigned to a client are grayed out.

    To change a client’s assigned asset from the attendance list:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Schedule. You can filter the list by entering Schedule into the Search field.
    4. In the Schedule, find the class or event for which you want to view the asset list, as follows:
      • If you are using Calendar View, click the class or event.
      • If you are using List View, in the Service column, click the name of the class or event.
    5. In the class or event window, click View Attendance List. The attendance list is displayed.
    6. In the ASSETS column, click the Edit button  next to the client for whom you want to change the assigned asset.
    7. In the list, click the asset with which you want to replace the client’s currently assigned asset. Changes are saved automatically.
