Creating or modifying a visit campaign

A visit campaign is a type of automated marketing campaign that can be used to contact your clients a specific amount of time after attending one of your services. These campaigns can be used to solicit feedback on services, encourage future attendance, and provide incentives such as discount codes. After you create a visit campaign template, you can send the email message to an individual client or a group of clients.

NoteSMS and push notification templates are not available for this type of campaign.

NoteYou can send a test email when editing a visit campaign template by clicking the SEND TEST EMAIL button and entering a receiving email address. When you send a test email, your client specific email variables will populate with placeholder information.

NoteEmails have a character limit of 102,400 characters.

NoteWe recommend that you do not use complicated HTML code, Javascript, or loading scripts in email templates as these are not supported by all mail receivers.

NoteIf you want to embed a video in your email template, you must contact your email provider to see if they allow you to send embedded videos in emails.

To create or modify a visit campaign:

  1. Click the App Drawer button .
  2. In the App Drawer, click Marketing.
  3. Under Visit Campaign:
    • To create a new visit campaign template, click Add at the bottom of the list.
    • To modify an existing visit campaign template, click the Edit this template button .
  4. Under EMAIL SEND RULES, configure the following:
    • Enter a number in the Send box and select hoursdaysmonths, or years from the list to define how much time should pass after a client attends the selected service before the email is triggered.
      • If you select Any service from the after client visits list, the campaign will be triggered the set amount of time after the client has attended any service at your business.
      • If you select a specific service from the after client visits list, the campaign will be triggered the set amount of time after the client has attended the specified service.
    • To stop sending emails after a client attends a service, set the Stop sending this campaign when the client visits another service option to ON.
      • If you selected Any service from the after client visits list, when a client attends any service at your business, the campaign will be reset and triggered again the set amount of time after most recently attended service at your business.
      • If you selected a specific service from the after client visits list, when a client attends any service at your business other than the selected service, the campaign will be canceled. The campaign will not be triggered unless the client attends the specified service again. In this situation, the campaign will be reset to send after the set amount of time and attending a service other than the selected service will cancel the campaign again.
    • To send this campaign to only specific client types, set the Send only to specific Client Types option to ON, and then set each client type to which you want to send the campaign ON.
    • To send this campaign to only specific client groups, set the Send only to specific Client Groups option to ON, and then set each client group to which you want to send the campaign ON.
      • If you have selected a client type and a client group, the email will send only to clients who fall under both categories.
  5. Under Compose Email, configure the email content. For more information, see Automated email template settings.
  6. Under Email Content, enter the body of the email message.
    • For information on how to use variables in the email message, see Email variables.
    • To add an image to the email message:
      1. Copy the URL of the image you want to add. You can only add images that are hosted online.
      2. Under Email Content, right-click where you want to insert the image.
      3. On the context menu, click Image. The Insert/edit image dialog box is displayed.
      4. Next to Source, paste the URL of the image.
      5. Next to Image Description, provide a description of the image. The description will be displayed instead of the image for recipients who prevent their emails from displaying images.
      6. Next to Dimensions, enter the horizontal and vertical dimensions of the image in pixels, if desired. Select the Constrain proportions checkbox if you want the system to maintain the horizontal to vertical proportion when you resize the image. Clear the checkbox if you want to modify the dimensions freely.
      7. Click Ok.
    • To customize the source code of the email template:  
      1. Click the Source code button .
      2. Enter your custom HTML, CSS, or JavaScript code. 
      3. Click Ok.
  7. To activate the campaign, at the top of the page, set the ACTIVATE EMAIL option to ON.
  8. Click SAVE. The visit campaign is created.
