Creating or modifying a client’s SOAP/QUICK notes

You can create a SOAP or QUICK note for a client when they are booked for, or have attended, a service. When modifying a SOAP/QUICK note, you can also print, duplicate, and delete the note.

NoteSOAP/QUICK notes can only be added and edited if they are enabled in the associated service’s setup. For more information, see Appointment Type advanced settings, Class Type advanced settings, and Event advanced settings.

NoteOnly staff members assigned to a staff role with the View Client Notes/SOAP Notes and Edit Client Notes/SOAP Notes permissions can view, create, modify, and delete SOAP/QUICK notes. For more information, see Staff role permissions.

In this article:

    To create or modify a client’s SOAP/QUICK note for an appointment from the schedule:

    1. Click the App Drawer button .
    2. In the App Drawer, click Schedule.
    3. Click the Appointment to which you want to add a note. You may have to adjust the schedule’s filters and date range to find the Appointment.
    4. In the Appointment window, click SOAP Note or QUICK notes depending on which type of note is enabled for this Appointment.
    5. Create or modify a note:
      • To add a note to the Appointment, click the Add SOAP Note button  or the Add QUICK notes button .
        • Enter all necessary information in the provided boxes and click SAVE.
        • To enter additional information, click the +ADD OTHER NOTES button, enter the information in the ADDITIONAL box and click SAVE.
        • To create a duplicate of this client’s most recent note of this type, click Duplicate. In the confirmation popup, click YES, I WANT TO DUPLICATE FROM PREVIOUS VISIT NOTE and then click SAVE.
      • To modify an existing note, click the Edit button An image of the edit button next to SOAP Note or QUICK notes, then click the View SOAP Note button  or the View QUICK notes button .
        • To edit the note, click the Edit button An image of the edit button next to the SOAP Note or QUICK notes, add all necessary information in the provided boxes, and click SAVE.
        • To print the note, click Print. In the print preview window, change any necessary printer options, then click Print.
        • To delete the note, click DELETE. In the confirmation popup, click YES, I WANT TO REMOVE THIS VISIT NOTE.

    To create or modify a client’s SOAP/QUICK note for a class or event from an attendance list:

    1. Click the App Drawer button .
    2. In the App Drawer, click Schedule.
    3. Click the Class or Event to which you want to add a note. You may have to adjust the schedule’s filters and date range to find the class or event.
    4. Click View Attendance List. Make sure one or more clients have been booked for the class or event. For more information, see Booking a Class and Booking an Event.
    5. Create or modify a note:
      • To add a note to the class or event, click the Add SOAP Note button  or the Add QUICK notes button .
        • Enter all necessary information in the provided boxes and click SAVE.
        • To enter additional information, click the +ADD OTHER NOTES button, enter the information in the ADDITIONAL box and click SAVE.
        • To create a duplicate of this client’s most recent note of this type, click Duplicate. In the confirmation popup, click YES, I WANT TO DUPLICATE FROM PREVIOUS VISIT NOTE and then click SAVE.
      • To modify an existing note, click the View SOAP Note button  or the View QUICK notes button .
        • To edit the note, click the Edit button , add all necessary information in the provided boxes, and click SAVE.
        • To print the note, click PRINT. In the print preview window, change any necessary printer options, then click Print.
        • To delete the note, click DELETE. In the confirmation popup, click YES, I WANT TO REMOVE THIS VISIT NOTE.

    To create or modify a client’s SOAP/QUICK note for a service from their client profile:

    1. On the Top Nav Bar, click the Search button , and enter the client’s information in the box. You can enter the client’s name, phone number, email address, UID, or client ID.
    2. In the list of clients displayed, click the client’s name.
    3. On the side menu, click Attendance.
    4. On the Attendance menu, click Upcoming Schedule or Attendance History.
    5. Find the service for which you want to create or modify a note.
    6. Create or modify a note:
      • To add a note to the service, under the Notes column, click the Add SOAP Note button  or the Add QUICK notes button .
        • Enter all necessary information in the provided boxes and click SAVE.
        • To enter additional information, click the +ADD OTHER NOTES button, enter the information in the ADDITIONAL box and click SAVE.
        • To create a duplicate of this client’s most recent note of this type, click Duplicate. In the confirmation popup, click YES, I WANT TO DUPLICATE FROM PREVIOUS VISIT NOTE and then click SAVE.
      • To modify an existing note, under the Notes column, click the View SOAP Note button  or the View QUICK notes button .
        • To edit the note, click the Edit button , add all necessary information in the provided boxes, and click SAVE.
        • To print the note, click Print. In the print preview window, change any necessary printer options, then click Print.
        • To delete the note, click DELETE. In the confirmation popup, click YES, I WANT TO REMOVE THIS VISIT NOTE.
