FAQ: How do I make sure every session in a recurring booking is paid for?

To ensure that every session in a client’s recurring booking is paid for, staff members can choose to apply an auto-renewing session pass to the recurring booking. There are three methods by which a staff member can apply a client’s session pass to a recurring booking.

Method 1: Booking the service with a session pass

You must sell the auto-renewing session pass to the client, and then book the recurring service using that session pass. For more information, see Booking a Class or Booking an Appointment.

All the visits currently available on the client’s session pass will be applied to the earliest sessions in the recurring booking and those sessions will be marked as paid on the client’s upcoming schedule. When the client’s attendance status for the paid bookings changes to Attended, the session pass will auto renew and the new visits on that pass will be applied to the next appointments in the recurring booking.

For example, a client purchases a 4-visit session pass that is set to auto renew after four weeks. That client is then booked into a recurring appointment every Tuesday for the next eight weeks using the 4-visit session pass. When the booking is complete, the four visits from the pass will be immediately applied to the first four appointments in the recurring booking. After the client’s attendance status for the first four appointments is changed to Attended, the session pass will auto renew and the new visits on that pass will be applied to the next four appointments in the recurring booking.

Method 2: Reconciling visits from the online store

If the client does not have an applicable session pass for the service at the time you book the recurring service, you can book the service unpaid and then reconcile the booking through the online store by selling the client an auto-renewing session pass. When you complete the purchase, you can choose to reconcile every session in the recurring booking. Every visit from the session pass will then be applied to the recurring booking, and the session pass will continually auto renew to reconcile all the sessions in the booking immediately.

Each time the session pass auto renews, the client will be charged immediately.

For example, a client is booked into a recurring appointment every Tuesday for the next eight weeks unpaid. Then you sell the client a $20 4-visit session pass that is set to auto renew after four weeks, and you reconcile the unpaid recurring bookings with the pass. The four visits on the pass will be immediately applied to the first four appointments in the recurring booking. The pass will then auto renew, the client will be charged $20, and the four visits on the pass will be applied to the next four appointments in the recurring booking.

Method 3: Reconciling visits from a client’s profile

If you book the client into the recurring service unpaid, complete the steps to reconcile all the unpaid sessions in the recurring booking through the client’s profile and choose Pay Now, then select an auto-renewing session pass the client owns and then set Reconcile other unpaid visit(s) using this Purchase Option? to ON.

When you select a session pass to reconcile the unpaid sessions, every visit from the pass will be applied to the earliest sessions in the recurring booking and those sessions will be marked as paid on the client’s upcoming schedule. When the client’s attendance status for the paid bookings changes to Attended, the session pass will auto renew and the new visits on that pass will be applied to the next sessions in the recurring booking.

For example, you book a client into a recurring appointment every Tuesday for the next eight weeks unpaid. Later, you open the client’s profile and reconcile the unpaid sessions with the client’s auto-renewing, 4-visit session pass. The four visits from the session pass will be applied to the first four appointments in the recurring booking and they will be marked as paid. After the client’s attendance status for those four appointments changes to Attended, the client’s session pass will auto-renew and the four visits on the pass will be applied to the next four appointments in the recurring booking.
