Memberships Report

The Memberships Report is a sales report that displays a list of client memberships that were active, expired, on hold, canceled, or converted during the selected date range. You can use the Memberships Report to view the membership details of your clients and perform actions like placing multiple memberships on hold when clients are unable to visit your business for an extended period. The summary cards at the top of the page provide an overview of the key information in the report. This article describes how to view the Memberships Report and provides details of the columns that appear in the report. To learn how to customize and filter the report, see Viewing a report.

    To view the Memberships Report

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Reports. You can filter the list by entering Reports into the Search field.
    4. On the Reports menu, click Sales.
    5. On the Sales menu, click Memberships. The Memberships Report is displayed.

    Summary cards in the Memberships Report

    Summary cardsDescription
    Active MembershipsThe total number of active memberships during the selected date range.
    Total Memberships On HoldThe total number of memberships on hold during the selected date range.
    Total MembershipsThe total number of memberships that are active or on hold during the selected date range.
    New Memberships On HoldThe total number of memberships that were placed on hold during the selected date range.
    New MembershipsThe total number of memberships that were activated during the selected date range.
    Not ActivatedThe total number of memberships that were sold in the selected date range with start dates that occur after that date range.
    Expired MembershipsThe total number of memberships that expired during the selected date range.

    NoteIf you apply the Month date range filter to the report, the report will include memberships that have expired and memberships that expire during that month.

    Memberships that will auto-renew during the month are also included in the number of expired memberships when the Month date range is applied. These memberships will also be included when the Day filter is applied, and you are viewing day before the membership is set to renew.

    Canceled MembershipsThe total number of memberships that were canceled during the selected date range.
    Converted MembershipsThe total number of memberships that were converted during the selected date range.
    Lost MembershipsThe total number of memberships that expired or were canceled during the selected date range.

    Headings in the Memberships Report

    HeadingDescription
    ClientThe client who owns the membership and relevant details about this client, including their client type, waiver status, contract status, special notes, unpaid visits, and account balance. The relevant details will be noted here by small icons. Hover over any icon to learn more.
    First NameThe client’s first name.
    Last NameThe client’s last name.
    EmailThe client’s email address.
    Phone NumberThe client’s mobile phone number.
    Client IDThe client’s ID. For more information, see Assigning a client ID.
    MembershipThe membership owned by the client. You can click the name of the membership to open the client’s Passes & Memberships page.
    Purchase DateThe date that the membership was purchased.
    Start DateThe date that the membership became active. If the membership was prorated, this column will display the date the membership was prorated from, not the date selected as the start date for the membership during checkout. For more information, see Prorating membership payment.
    End DateThe date that the membership becomes inactive. If the membership has no end date, Ongoing is displayed.
    Cancellation DateThe date on which a client’s membership was canceled.
    Cancellation ReasonThe reason selected when canceling the membership from the Passes & Memberships page. If the staff member entered any additional notes during the cancellation, you can hover your cursor over the Notes icon Note icon. to display them.
    Termination DateIf the membership has been set to terminate, the termination date will be listed in this column.
    Date of Last BillThe date of the client’s most recent bill for the membership.
    Amount of Last BillThe amount last paid by the client for the membership.

    NoteA membership that is sold as a part of a package will display a value of $0.00 under the Amount of Last Bill column. Furthermore, if the package containing the membership auto-renews, the associated membership will display $0.00 under the Amount of Last Bill column. However, if only the membership within the package auto-renews, the payment amount will be displayed under the Amount of Last Bill column.
    Date of Next BillThe date of the client’s next bill for the membership.
    Amount of Next BillThe amount of the client’s next bill for the membership.
    Conversion TypeIf the membership was converted to another Purchase Option, the type of conversion will be listed in this column.
    Converted ToIf the membership was converted to another Purchase Option, the Purchase Option that the membership was converted to will be listed in this column.
    StatusThe status of the membership during the selected date range. The possible statuses a membership can have are Active, Not Activated, Expired, Canceled, Converted, and On Hold. To learn more about membership holds, see Placing a membership on hold.

    If the status of the membership changed within the selected date range, all the statuses will be displayed in order from most recent to oldest.

    To view the current status of the membership, you must select Today as the date range when filtering the report.

    UIDThe UID of the client who owns this membership.

    This heading is hidden by default and will only appear when a staff member customizes the report to include this heading.

    Advanced filters in the Membership Report

    FilterDescription
    Membership ConversionsUse this filter to determine which memberships to include in the report based on which selected memberships were converted to different Purchase Options.
    Membership StatusUse this filter to determine which memberships to include in the report based on the membership’s status. Membership statuses can be Active, Canceled, Expired, Not Activated, Converted, and On Hold.
    Auto-RenewUse this filter to determine which Purchase Options to include based on whether auto-renew is on or off.
    LocationsUse this filter to determine which locations to include in the report.

    You can also use this filter to view purchases clients are making online. For example, if one of your business locations is named Location A, there will be both a Location A filter and a Location A Online filter available. The Location A filter will filter for sales made by staff members through the Elevate Staff App or who are signed into Location A for clients whose home location is Location A. The Location A Online filter will filter for purchases made through the Client Web App or the Achieve Client App by clients whose home location is Location A.

    Class & Event MembershipsUse this filter to determine which Class & Events Memberships to include in the report. Class & Events Memberships are memberships with Class/Events selected as the Purchase Option service category.
    Display Canceled MembershipsUse this filter to determine whether to include canceled memberships in the report.
    Client GroupsUse this filter to determine which clients to include in the report based on their client group.
    NoteThis filter will pull any relevant information from the available fields. For example, if you filter for groups A, B, and C, the filter will find clients from group A, group B, group C, and any combination thereof, as opposed to only finding clients who belong to all three groups.
    Account MembershipsUse this filter to determine which Account Memberships to include in the report. Account Memberships are memberships with Account tab selected as the Purchase Option service category.
    FitVID MembershipsUse this filter to determine which FitVID Memberships to include in the report. FitVID Memberships are memberships with FitVID Videos selected as the Purchase Option service category.
    Appointment MembershipsUse this filter to determine which Appointment Memberships to include in the report. Appointment Memberships are memberships with Appointments selected as the Purchase Option service category.
    Gym MembershipsUse this filter to determine which Gym Memberships to include in the report. Gym Memberships are memberships with Gym visits selected as the Purchase Option service category.
