Modifying a Class schedule

You can modify an existing scheduled Class to change some of the Class’s details and settings. These modifications can be made through the schedule or the Setup menu.

In this article:

To modify a Class schedule from the schedule:

  1. Click the App Drawer button .
  2. In the App Drawer, click Schedule.
  3. To modify a Class schedule from the calendar view, click the Calendar button :
    1. Find the Class on the schedule you want to modify. You may have to adjust the schedule’s filters and date range to find the Class. 
    2. Click the Class.
    3. Next to the Class’s name, click the More button .
    4. Click Modify Schedule.
  4. To modify a Class schedule from the list view, click the List button The list view button:
    1. Find the Class on the schedule you want to modify. You may have to adjust the schedule’s filters and date range to find the Class. 
    2. Under Service, click on the Class.
    3. Next to the Class’s name, click the More button , and click Modify Schedule or: 
      1. Click the Options button   that appears on the right of the row when you hover over it. 
      2. Click Edit Class Schedule Details.
    4. Click Advanced Substitution.
  5. Under When does it apply? Select whether the modification will apply to a Single day or Multiple days
    • Select Single day to modify one session. Under DATE, select the date to which you want the modification to apply.
    • If you want to modify multiple sessions, select Multiple days:
      • Under FROM DATE, select the start date on which the modifications will apply.
      • The All sessions going forward checkbox is selected by default. If you want to specify an end date for the modifications, clear the checkbox and under TO DATE, select the end date for the modifications.
  6. Click NEXT.
  7. If Single day is selected and there are multiple sessions on one day or if you chose to modify Multiple days, under Which sessions to modify? select the sessions that should be affected by your changes and click NEXTThis option will not be displayed if there are no other scheduled sessions during the cancelation period.
  8. Under What is being changed?, click the Edit button  next to each field you want to modify, and then make the change. When all your changes are made, click NEXT. 
    • Some fields may not be editable. For example, if you are modifying a recurring Class schedule that has clients booked into it, the REPEATS EVERY field is not modifiable. 
  9. Under Are clients impacted?:
    • Select the Send email to affected client, the Send SMS to affected client, and/or the Send push to affected client checkboxes to notify the client of the changes.
    • Select the Send email to staff, the Send SMS to staff, and/or the Send push to staff checkboxes to notify the staff member of the changes.
    • To customize the notifications:
      1. Click Customize Email, Customize SMS, or Customize Push depending on which notification you want to customize.
      2. Make any required changes to the notification template. For more information on customizing email notifications, see Automated email template settings and Email variables.
      3. Click NEXT to return to the Are clients & staff affected? page.
  10. Click NEXT.
  11. Under Confirm and finish, confirm your changes and click COMPLETE.

To modify a Class schedule from the Setup menu:

  1. Click the App Drawer button .
  2. In the App Drawer, click Setup.
  3. On the Setup menu, click Classes.
  4. On the Classes page, find the Class Type that you want to modify.
  5. Go to the Edit Schedule Details page:
    • If you are using the tile view, under the number of Classes Scheduled, click Add/Modify. All scheduled Classes of this type are displayed.
    • If you are using the list view:
      1. Under the EDIT column, click the Edit class button . The Edit Class page is displayed.
      2. On the right side of the page, click MANAGE SCHEDULE.
  6. Under the EDIT column, click the Edit schedule details button  next to the scheduled Class that should be modified.
  7. Under When does it apply?, select the date range to which the changes will apply and click NEXT.
  8. Under Which sessions to modify?, select the specific Classes to which the changes will apply and click NEXT.
  9. Under What is being changed?, click the Edit button next to each field you want to modify, and then make the change. Some fields may not be editable. For example, if you are modifying a recurring Class schedule that has clients booked into it, the REPEATS EVERY field is not modifiable. When all your changes are made, click NEXT.
  10. Under Are clients & staff impacted?:
    • Select the Send email to affected client, the Send SMS to affected client, and/or the Send push to affected client checkboxes to notify the client of the changes.
    • Select the Send email to staff, the Send SMS to staff, and/or the Send push to staff checkboxes to notify the staff member of the changes.

  11.  Click NEXT.
  12. Under Confirm and finish, confirm your changes and click COMPLETE.
