Modifying a scheduled Event instance

You can modify scheduled Event instances to change specific details, such as the location, start date, end date, and instructor.

CautionChanging the date of a scheduled Event session may cancel all client bookings for that Event session. To avoid this, you must ensure that the day of the week on which the Event session falls is between the start date and end date of the Event. For example, if the Event begins on Monday, July 27 and ends on Wednesday, July 29, the day of the week for the Event session must be Monday, Tuesday, or Wednesday. If the day of the week on which the Event session falls is not between the start date and end date of the Event, all clients bookings for the Event session will be canceled, any enabled cancellation notifications will be sent to clients, and clients will no longer appear on the attendance list for the session.

In this article:

    To modify a scheduled Event instance from the schedule:

    1. Click the App Drawer button .
    2. In the App Drawer, click Schedule.
    3. Find the Event on the schedule you want to modify. You may have to adjust the filters or the date range to find the Event.
      • If you are using calendar view, click on the Event and select Modify schedule.
      • If you are using list view, in the rightmost column, click the Options button  and select Edit Event Schedule Details.
    4. Select the time period for which the Event will be modified:
      1. Single day is selected by default. If you want to modify multiple sessions, select Multiple days:
        1. Under FROM DATE, select the starting date on which the modifications will apply.
        2. The All sessions going forward checkbox is selected by default. If you want to specify an ending date for the modifications, clear the checkbox and under TO DATE, select the ending date for the modifications.
      2. Click NEXT.
    5. If you chose to modify multiple sessions, select the sessions that should be affected by your changes.
    6. Click the Edit button  next to each field you want to modify, and then any necessary changes. When all your changes are made, click NEXT.
    7. If clients are affected by the change, determine if and how they should be notified:
      1. Select the Remove clients from this class checkbox to unenroll all registered clients from the Event.
      2. Select the Send email to affected client, the Send SMS to affected client, and/or the Send push to affected client checkboxes to notify the client of the changes.
        • To customize the notifications:
          1. Click Customize Email, Customize SMS, or Customize Push depending on which notification you want to changes.
          2. Make any required changes to the notification template. For more information on customizing email notifications, see Automated email template settings and Email variables.
          3. Click SAVE.
      3.  Click NEXT.
    8.  Confirm your changes and click COMPLETE.

    To modify a scheduled Event instance from the setup menu:

    1. Click the App Drawer button .
    2. In the App Drawer, click Setup.
    3. On the Setup menu, click Events.
    4. Click the Event you want to modify. You may have to browse the list, use the Search option, or filter the list to find the Event.
    5. Click MANAGE SCHEDULE.
    6. Find the Event instance you want to modify and click the Edit button .
    7. Select the time period for which the Event will be modified:
      1. Under FROM DATE, select the starting date on which the modifications will apply.
      2. The All sessions going forward checkbox is selected by default. If you want to specify an ending date for the modifications, clear the checkbox and under TO DATE, select the ending date for the modifications.
      3. Click NEXT.
    8.  If you chose to modify multiple sessions, select the sessions that should be affected by your changes.
    9. Click the Edit button  next to each field you want to modify, and then any necessary changes. When all your changes are made, click NEXT.
    10. If clients are affected by the change, determine if and how they should be notified:
      1. Select the Remove clients from this class checkbox to unenroll all registered clients from the Event.
      2. Select the Send email to affected client, the Send SMS to affected client, and/or the Send push to affected client checkboxes to notify the client of the changes.
