Projected Revenue Report

The Projected Revenue Report is a sales report that displays the expected revenue for your business from auto-renewals and auto-payments during the selected date range. This report includes the following sources of revenue:

  • Scheduled membership payments.
  • Cancellation fees for scheduled membership cancellations.
  • Auto-renewal payments.
  • Auto-payments.
  • Payment plan
  • Services with future billing dates which have been modified during the point of sale.
  • Purchase Options sold individually.
  • Purchase Options sold as part of a package.
  • Purchase Options set to automatically convert.
This article describes how to view the Projected Revenue Report and provides details of the columns that appear in the report. To learn how to customize and filter the report, see Viewing a report.
Notes
  • If a Purchase Option has a duration that is longer than one month, this report will only display payments that are scheduled to take place before the Purchase Option’s auto-renewal date. The report will also display all future auto-renewal payments.
    For example, a client purchases an auto-renewing 12-month membership with monthly payments on January 1, 2018. The Projected Revenue Report will only display monthly payments up to the auto-renewal date, January 1, 2019. The report will also display the auto-renewal payment scheduled on January 1, 2019, and the yearly auto-renewal payments scheduled for every January 1 in the future. When the auto-renewal payment scheduled for January 1, 2019, is processed, all monthly payments until January 1, 2020, will be displayed.
  • Upcoming scheduled auto-payments that have no monetary value won’t be displayed on the Projected Revenue Report. However, upcoming auto-renewal payments that have no monetary value will be displayed on the Projected Revenue Report.
    For example, a 12-month membership automatically renews every year on the first of January for $0 and has auto-payments of $0 on the first day of each month. Only the annual auto-renewal payments will be displayed on the Projected Revenue Report.

    To view the Projected Revenue Report:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Reports. You can filter the list by entering Reports into the Search field.
    4. On the Reports menu, click Sales.
    5. On the Sales menu, click Projected Revenue. The Projected Revenue Report is displayed.

    Summary cardsDescription
    Total PaymentsThe total number of clients expected to make a purchase during the selected date range.
    Total AmountThe total amount of projected revenue that will be generated during the selected date range.

    Headings in the Projected Revenue Report

    HeadingDescription
    Status TagsTags are located beside Date and above the row selection checkbox. The possible tags are:

    • Scheduled – Purchase Options scheduled for payment. This tag appears in green.
    • Renewal – Purchase Options that are set to auto renew. This tag appears in orange.
    • Conversion – Purchase Options that are set to convert to a different Purchase Option upon expiry.
    • On Hold – Purchase Options that are placed on hold and that are configured with the Continue Billing membership hold rule. (Scheduled payments continue to be processed while the membership is on hold.) This tag appears in yellow.
    • Done – The revenue of the Purchase Option has already been collected. This tag appears in gray.

    DateThe scheduled date of the payment.
    ClientThe client who is expected to make the payment. Relevant details about this client, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.
    PurchaseThe name of the Purchase Option being paid for. If the payment is part of an installment plan, this field will be marked as Installment Plan.
    LocationThe location to which the revenue from the payment will be assigned.
    AmountThe total amount of the payment, including taxes and discounts.
    SurchargeThe value of the surcharge that will be on the payment.
    Payment TypeThe payment method that will be used to make the payment.
    Revenue CategoryThe revenue category under which the payment is categorized.
    ActionClick the More button in this column to open the menu. From the menu, select View Details to view the payment details in the client’s profile. If the payment has been completed, you can select Refund to refund the payment.

    Advanced filters in the Projected Revenue Report

    FilterDescription
    LocationsUse this filter to determine which locations to include in the report.

    You can also use this filter to view purchases clients are making online. For example, if one of your business locations is named Location A, there will be both a Location A filter and a Location A Online filter available. The Location A filter will filter for sales made by staff members through the Elevate Staff App or who are signed into Location A for clients whose home location is Location A. The Location A Online filter will filter for purchases made through the Client Web App or the Achieve Client App by clients whose home location is Location A.

    Asset Purchase OptionsUse this filter to determine which Asset Purchase Options to include in the report. Asset Purchase Options are Purchase Options with the Asset Purchase Option Service Category selected.
    Class & Events Purchase OptionsUse this filter to determine which class/event Purchase Options to include in the report. Class/event Purchase Options are Purchase Options with Class/Events selected as the Purchase Option Service Category. For more information, see Creating or modifying a membership or Creating or modifying a session pass.
    Revenue CategoriesUse this filter to determine which sales to include in the report based on the revenue categories they are classified under.
    Client GroupsUse this filter to determine which clients to include in the report based on their client group.
    NoteThis filter will pull any relevant information from the available fields. For example, if you filter for groups A, B, and C, the filter will find clients from group A, group B, group C, and any combination thereof, as opposed to only finding clients who belong to all three groups.
    Account Purchase OptionsUse this filter to determine which Account Purchase Options to include in the report. Account Purchase Options are Purchase Options with the Account Tab Purchase Option Service Category selected.
    Appointments Purchase OptionsUse this filter to determine which appointment Purchase Options to include in the report. Appointment Purchase Options are Purchase Options with Appointment selected as the Purchase Option Service Category.     Gym Purchase OptionsUse this filter to determine which gym Purchase Options to include in the report. Gym Purchase Options are Purchase Options with Gym Visits Options selected as the Purchase Option Service Category. For more information, see Creating or modifying a membership or Creating or modifying a session pass.
    Package Purchase OptionsUse this filter to determine which Packages to include in the report. Package Purchase Options are Purchase Options with the Package Purchase Option Service Category selected.
    Payment MethodUse this filter to determine which sales to include in the report based on the payment methods used.
    Payment StatusesUse this filter to determine which payments to include in the report based on the status of the payment.
