Prorating a client’s membership payment

You can prorate a client’s membership payment when purchasing the membership through the store or from the client’s profile after the membership has been purchased. This is done to ensure the client only has to pay for the amount of time that they can access your services.

You can also allow clients to change the start date of a membership and prorate their first payment when they purchase the membership in the Client Web App or Achieve Client App. For more information, see Membership general information settings.

Prorating a client’s membership payment can be useful when:

  • A client wants to purchase a membership halfway through a payment period.
    • For example, a client wants to purchase a membership with scheduled payments on the first of every month. The client purchases this membership on January 15. Instead of charging the client for all of January, you can prorate the payment and charge the client for only the time period between January 15 and February 1. After the initial payment, the client will be billed on the first of every month for the full value of the membership.
  • A client wants to change the date of their scheduled payments.
    • The date of a client’s scheduled payments can be moved forward or backward and prorated accordingly.
    • For example, a client owns a membership with scheduled payments on the first of every month. The client wants to change the date of their scheduled payments to the fifteenth of every month. Since the length of the membership is extended by 15 days, the client will be billed for those additional days from January 1 to 15. After the prorated payment, the client will be billed on the fifteenth of every month for the full value of the membership.
Notes
  • If you prorate payment for a membership that has an attendance restriction, the set number of visits for the prorated period isn’t affected. For example, a client buys a prorated membership on January 15. This membership renews on the first of each month and has an attendance restriction of five visits per month (set to apply at the start of the calendar cycle). The client will be able to use five visits between January 15 and January 30, and five visits between February 1 and February 28.
  • If a membership is terminated before the payment period is over, the payment isn’t automatically prorated because the full amount was already charged. You must manually issue a refund to resolve the issue. For more information, see Refunding a transaction or purchase.

In this article:

    To prorate a membership payment at checkout:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Store. You can filter the list by entering Store into the Search field.
    4. Under Location, select the location where the purchase is being made. This option only appears for businesses with multiple locations.
    5. Under Client Information, select the client who is making the purchase in one of the following ways:
      • In the SEARCH CLIENT box, type all or part of the client’s name, and then select the client from the list.
      • To create a new client, click Add Client, complete the required client profile information, and then click SAVE.
    6. Under Products and Services, search for and select the membership you want to purchase, and then click Add to cart.
    7. In the shopping cart, click the Options button  and select Edit Details from the list.
    8. In the START ON box, enter the date on which the membership will start. Expiration and renewal dates are based on the date entered here.
    9. Set the Prorate first payment option to ON.
    10. In the PRORATE FROM box, enter the date from which you would like to prorate the membership.
    11. If you want the client to pay for only the prorated time in the current pay period, set the Pay for prorated period only option to ON.
    12. Click Proceed to Checkout.
    13. Under Select a Payment Method, select each payment method that the client wants to use (e.g., Virtual Terminal, Card Swiper, Cash). In most cases, the total payment will be split between the selected payment methods equally, but you can adjust the amounts as required. If you select Gift Cards, you must enter the required code, and then the amount on the gift card will be entered automatically.
    14. Click Complete.

    To prorate a membership payment from a client’s profile:

    1. On the Top Nav Bar, click the Search button , and enter the client’s information in the box. You can enter the client’s name, phone number, email address, UID, or client ID.
    2. In the list of clients displayed, click the client’s name.
    3. In the list of clients displayed, click the client’s name.
    4. On the side menu, click Account.
    5. On the Account menu, click Passes & Memberships.
    6. Find the membership for which you want to prorate a payment in the list. You may have to browse the list, use the Search option, or filter the list to find the membership.
    7. In the Action column, click the Action button action to the right of the membership listing and select Edit Purchase Option.
    8. In General Information, under Auto-payments every, select the date on which the membership will start. Expiration and renewal dates are based on the date entered here.
    9. Select the checkbox next to Prorate first payment.
    10. In the Prorate from box, select the date from which you would like to prorate the membership.
    11. Click SAVE FOR [CLIENT NAME].

    To prorate a membership payment from the Client Web App:

    1. In the top menu, click Store.
    2. Under CHOOSE LOCATION, select a location. This is only required if the business has made it necessary for clients to choose a location.
      • If you select a location, only Purchase Options available at that location will be displayed in the store unless the business has set up their store to display Purchase Options regardless of location.
    3. Click the membership you want to purchase. You may have to browse the list, use the Search option, or filter the list to find the membership.
    4. In the shopping cart, next to the membership’s name, click the Action button and select Edit Details.
    5. Under Start Date, select the date on which the membership will start. The price will be prorated based on the date selected.
      • Alternatively, you can click MORE DETAILS when hovering over the membership. Under Start Date, select the date on which the membership will start. Click Add to Cart.
    6. Click Proceed to Checkout.
      • If you’re not already signed in, you must sign in before selecting a payment method.
      • If an item in your shopping cart requires you to sign a contract, the Sign Contract button will be displayed instead. Click Sign Contract, review and sign the contract, and then click I Agree to Use Electronic Signatures.
    7. Select each payment method you want to use.
      • If you select multiple payment methods, the total payment will be split equally between them, however, you can adjust the amounts as required.
      • If you’re signed in as a guest, you must enter your email address and credit card information. When you complete your purchase, a guest profile will be created for you at this business.
        • Guests can only purchase products and/or gift cards.
        • When you complete a purchase as a guest, a guest profile will be created for you at this business, and you’ll receive a Purchase Receipt notification.
        • Guests don’t have to sign a business’s waiver when they complete a purchase.
        • If you’re an existing client at this business and trying to complete a purchase as a guest, you’ll be prompted to sign in to your account when you enter your email address.
    1. If you want to use a gift card or coupon to pay for your purchase, enter the appropriate information in the Gift Card or Coupon #
      • Only one gift card can be used at checkout.
    2. To apply a discount code to your shopping cart:
      • Click Add discount code.
      • Under ENTER DISCOUNT CODE, enter your discount code.
      • Click the Confirm button .
    3. Click Complete. The purchase is complete.
      • A receipt can be printed or emailed to the client at this time. For more information, see Printing receipts and Emailing receipts.
      • Under Get Points By Sharing Your Purchase, click Facebook or Twitter to share your purchase on each respective social media platform.

    To prorate a membership payment from the Achieve Client App:

    1. Tap the Store tab.
    2. Tap the membership you want to purchase. You may have to browse the list, use the Search option, or filter the list to find the membership.
    3. On the Product Details page, click Start Date, select the date on which the membership will start, and click Update.
    4. Tap Add To Cart.
    5. Tap Check Out.
      • If an item in your shopping cart requires you to sign a contract, the Sign Contract button will be displayed instead. Click Sign Contract, review and sign the contract, and then click I Agree to Use Electronic Signatures.
    6. To apply a discount code to your shopping cart:
      1. Under DISCOUNT CODE, add a discount code.
      2. Click the Confirm button .
    7. Under PAYMENT METHOD, select a saved credit card.
    8. Tap Pay.
    9. Tap Close. Your purchase is complete.
