Reconciling a missed Event session with a make-up session

In certain situations, a client might miss an Event session that they have already paid for. If the Event’s booking policies allow for make-up sessions, the client will be able to apply that missed Event session to another session to use the session they already paid for. In such cases, the desired Class or Event that is enabled as a make-up session can still be booked, but the client’s account will be billed unless you set the new make-up session as being paid by the previously missed session.

If a client pays for one or more sessions of an Event and is marked as a late cancel for one of those sessions, the missed visit is considered used. Late cancels are not eligible for make-up sessions.

To ensure that a make-up session is paid for properly, you must first remove the canceled visit from the client’s attendance history and then manually mark the Class or Event as a make-up session.

NoteThe price of the make-up session should be equal to or less than the price of the actual Event.

    To remove a canceled visit from a client’s attendance history:

    1. On the Top Nav Bar, click the Search button , and enter the client’s information in the box. You can enter the client’s name, phone number, email address, UID, or client ID.
    2. In the list of clients displayed, click the client’s name.
    3. On the side menu, select Attendance.
    4. On the Attendance menu, select Attendance History.
    5. In the Action column next to the visit you want to remove, click the Remove Visit button.

    To reconcile a missed Event session with a make-up session:

    1. On the Top Nav Bar, click the Search button , and enter the client’s information in the box. You can enter the client’s name, phone number, email address, UID, or client ID.
    2. In the list of clients displayed, click the client’s name.
    3. On the side menu, select Attendance.
    4. On the Attendance menu, select the appropriate option:
      1. For past sessions, select Attendance History.
      2. For upcoming sessions, select Upcoming Schedule.
    5. Next to the session you want to set as the make-up session, click the Edit button in the Paid With column.
    6. In the Edit menu, select the Purchase Option from the client’s session you previously canceled.
    7. Click the Apply button to confirm the payment.
