Booking Requests Report

The Booking Requests Report is a client report that displays all Appointment and asset bookings that have been requested during the selected time period. You can use this report to approve or deny booking requests. The Booking Requests Report is selected by default when creating a dashboard.

This article describes how to view the Booking Requests Report, and provides details of the columns that appear in the report. To learn how to customize and filter the report, see Viewing a report.
Note Requests that have been denied, or not yet been approved, will be displayed in the report based on the date the request was submitted. Requests that have been approved will be displayed in the report based on the date the booking will occur. For example, if a request is submitted on January 24th for an Appointment on February 4th and is not yet approved, this request will be displayed in the Booking Requests Report when you select to view all requests for January. When it is approved, the request will no longer be displayed when you select to view all requests for January but will be displayed when you select to view all requests for February.

    To view the Booking Requests Report:

    1. Click the App Drawer button .
    2. In the App Drawer, click Reports.
    3. On the Reports menu, click Clients.
    4. On the Clients menu, click Booking Requests. The Booking Requests Report is displayed.

    Headings in the Booking Requests Report

    Heading Description
    Date The date and time that the booking has been requested for are listed in this column. If the request was cancelled or denied, this column will be labelled Cancelled.
    Info The type of Appointment or asset that was requested is listed in this column, along with the staff member and location. This column is named INFO when this report is displayed in the dashboard.
    Contacted The name, email, phone number, and profile image of the client who the booking is requested for is listed in this column. Relevant details about this customer, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.
    Requested The date and time that the booking request was submitted are listed in this column. This column is named SUBMITTED ON when this report is displayed in the dashboard.
    Action If the booking request has not yet been approved or denied, you may do so from this column by clicking Approve or Deny.

    If the booking request has already been approved, this column will be labelled Request is approved.

    If the booking request was cancelled or denied, the date and time of the cancellation is listed in this column along with the name of the person who made the cancellation.

    If the booking needs to be rescheduled, or the booking request notification email needs to be resent, you can do so by clicking the Options button and selecting either Reschedule or Resend Appointment Request. This button will not be displayed if the booking request is denied.

    Note Denying an appointment request will not automatically refund the client. The client must be refunded manually.

    Advanced filters in the Booking Requests Report

    Filter Description
    Client Status Use this filter to determine which clients to include in the report based on whether they currently have an active Purchase Option.
    Groups Use this filter to determine which clients to include in the report based on their client group.
    NoteThis filter will pull any relevant information from the available fields. For example, if you filter for groups a, b, and c, the filter will find clients from group a, group b, group c, and any combination thereof, as opposed to only finding clients who belong to all three groups.
    Locations Use this filter to determine which business location(s) to include in the report.
    Appointments Use this filter to determine which Appointment Types to include in the report.
    Client Types Use this filter to determine which clients to include in the report based on their client type.
    Staff Use this filter to determine which staff members to include in the report.
    Bookable Assets Use this filter to determine which BOOK-A-SPOTâ„¢ assets to include in the report.
