Booking Requests Report

The Booking Requests Report is a client report that displays all Appointment and asset bookings that have been requested during the selected time period. You can use this report to approve or deny booking requests.

This article describes how to view the Booking Requests Report and provides details of the columns that appear in the report. To learn how to customize and filter the report, see Viewing a report.

NoteRequests that have been denied, or not yet been approved, will be displayed in the report based on the date the request was submitted. Requests that have been approved will be displayed in the report based on the date the booking will occur. For example, if a request is submitted on January 24th for an Appointment on February 4th and is not yet approved, this request will be displayed in the Booking Requests Report when you select to view all requests for January. When it is approved, the request will no longer be displayed when you select to view all requests for January but will be displayed when you select to view all requests for February.

    To view the Booking Requests Report:

    1. Click the App Drawer button .
    2. In the App Drawer, click Reports.
    3. On the Reports menu, click Clients.
    4. On the Clients menu, click Booking Requests. The Booking Requests Report is displayed.

    Headings in the Booking Requests Report

    HeadingDescription
    DateThe date and time that the booking has been requested for.
    InfoThe type of Appointment or asset that was requested along with the staff member and location.
    ClientThe name, email, phone number, and profile image of the client who the booking is requested for. Relevant details about this customer, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.
    RequestedThe date and time at which the booking request was submitted.
    StatusThe status of the booking request. The possible statuses are:

    • Request is approved – The booking request has been approved.
    • Denied – The booking request has been denied or canceled.
    • Requested – The booking has been requested and has not yet been approved or denied.

    NoteDenying an appointment request will not automatically refund the client. The client must be refunded manually.
    SetupClick the Setup button to choose from the following options:

    • Cancel Service – Select this option to cancel the booking. This option appears only if the status of the booking request is Request is approved.
    • Reschedule – Select this option to reschedule the booking request. This option appears only if the status of the booking request is Requested or Denied.
    • Resend Appointment Request – Select this option to resend the booking request notification email. This option appears only if the status of the booking request is Requested.
    • Approve – Click this option to approve the booking request. This option appears only if the status of the booking request is Requested.
    • Deny – Click this option to deny the booking request. This option appears only if the status of the booking request is Requested.

    Advanced filters in the Booking Requests Report

    FilterDescription
    Client StatusUse this filter to determine which clients to include in the report based on whether they currently have an active Purchase Option.
    GroupsUse this filter to determine which clients to include in the report based on their client group.
    NoteThis filter will pull any relevant information from the available fields. For example, if you filter for groups A, B, and C, the filter will find clients from group A, group B, group C, and any combination thereof, as opposed to only finding clients who belong to all three groups.
    LocationsUse this filter to determine which business location(s) to include in the report.
    AppointmentsUse this filter to determine which Appointment Types to include in the report.
    Client TypesUse this filter to determine which clients to include in the report based on their client type.
    StaffUse this filter to determine which staff members to include in the report.
    Bookable AssetsUse this filter to determine which BOOK-A-SPOT™ assets to include in the report.
    Appointments Request StateUse this filter to determine which Appointment request statuses to include in this report.
