Scheduling closed days

You can schedule, edit, or remove closed days for your business. A closed day can be used for holidays, special events, renovations, or other special circumstances. When you schedule a closure, you can choose whether to cancel all services or offer only specific services during the closure. If you want to close multiple locations, but not every location in the business, you must repeat the procedure for scheduling closed days once per location.

When scheduling a closed day, you must add a closure message, which your staff members and clients will see when viewing the schedule. If you choose to cancel only selected services, the closure message won’t be displayed.

  • For staff members, closed days are indicated by the closure message when viewing the schedule in list view or the day or month calendar views.
  • For clients, closed days are indicated by the closure message when viewing the Book Now tab in the Client Web App. When viewing the schedule on the Achieve Client App, closed days won’t be displayed.

NoteIf you schedule a closed day and choose to send an email, SMS message, or push notification to the affected clients, some email variables and SMS variables won’t populate in the client notifications for canceled appointments or events.

In this article:

    To schedule a closed day:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Schedule. You can filter the list by entering Schedule into the Search field.
    4. Click the Settings filter button Setup_Button.
    5. Click Add Closed Day.
    6. In the CLOSED DAY MESSAGE enter the reason for the closure (e.g., Closed due to holiday).
    7. In the START DATE, select the date on which the closure begins.
    8. Under END DATE, select the date on which the closure ends.
    9. Under SCALE, select whether all locations in the business or only a specific location will be closed and click NEXT.
      • If you chose Location, enter the name of the specific location you want to close and select it from the list.
    10. Select which services should be cancelled during the closed days and click NEXT:
      • To cancel all services, click Cancel all services.
      • To cancel only specific services:
        1. Click Cancel only selected services. A list of services that will be affected by the closed day will be displayed.
        2. Under Appointments, click All to cancel all Appointments or click Selection to cancel only specific Appointments. If you chose Selection, select the checkbox next to each Appointment you want to cancel.
        3. Under Classes, click All to cancel all Classes or click Selection to cancel only specific Classes. If you chose Selection, select the checkbox next to each Class you want to cancel.
        4. Under Events, click All to cancel all Events or click Selection to cancel only specific Events. If you chose Selection, select the checkbox next to each Event you want to cancel, or select the Select All checkbox to cancel all Events.
    11. Determine whether to notify all affected clients of the closure:
      • To send an email to all affected clients, set the Send email to affected clients option to ON.
        1. To edit the email message, click Edit Email.
        2. To track the email message in your Email Campaign Report, set the TRACK AS A CAMPAIGN option to ON and enter the name of the campaign in the box.
        3. Under Compose Email, configure the email content. For more information, see Automated email template settings.
        4. Under Email Content, enter the body of the email message. For information on how to use variables in the email message, see Email variables.
        5. Click BACK. Your changes are saved automatically.
      • To send an SMS message to all affected clients, set the Send SMS to affected clients option to ON.
        1. To edit the SMS message, click Edit SMS.
        2. Under SMS TEXT, enter the SMS message.
        3. Click BACK. Your changes are saved automatically
      • To send a push notification to all affected clients, set the Send Push to affected clients option to ON.
        1. To edit the push notification, click Edit Push.
        2. Under EDIT PUSH NOTIFICATION, enter the push message.
        3. Click BACK. Your changes are saved automatically.

    11.    Click COMPLETE.

    To edit or remove a closed day:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Schedule. You can filter the list by entering Schedule into the Search field.
    4. Click the Settings filter button Setup_Button.
    5. Click Add closed day.
    6. Under Existing holidays, click the Edit or Remove button depending on whether you want to edit or remove the scheduled closure.
      • Under Existing holidays, edit a scheduled closure:
        1. Click the Edit Holiday button .
        2. Make all required modifications and click COMPLETE.
      • To remove a scheduled closure:
        1. Click the Remove Holiday button .
        2. In the confirmation popup, click OK.
