Setting an asset’s working hours

After you have created a BOOK-A-SPOT™ asset, you can set its working hours. Working hours determine when the asset is available to be booked. Working hours can be set only for assets that are available to be booked separately from services.

In this article:

    To set an asset’s working hours:

    1. Click the App Drawer button .
    2. In the App Drawer, click Setup.
    3. On the Setup menu, click BOOK-A-SPOT.
    4. In the list, click the asset for which you want to set the working hours.  You may have to browse the list or filter the list to find the asset.
    5. Under Asset Booking Rules, click Asset can be booked separately from services.
    6. Click ADD AVAILABLE TIME or ADD UNAVAILABLE TIME, depending on whether you want the asset to be available or unavailable for services during the specified time.
    7. Enter the time details:
      1. Under START DATE and END DATE, select the start date and end date, or select the Ongoing checkbox if you do not want to set an end date.
      2. Under DAY OF THE WEEK, select the days of the week to which the times will apply.
      3. In the START TIME and END TIME boxes, set the hours between which the asset will be available or unavailable.
      4. Under NOTES FOR AVAILABLE TIME or CANCELLATION NOTES, enter any relevant details about the available or unavailable time.
    8. Click SAVE.

    To modify an asset’s working hours:

    1. Click the App Drawer button .
    2. In the App Drawer, click Setup.
    3. On the Setup menu, click BOOK-A-SPOT.
    4. In the list, click the asset for which you want to set the working hours.  You may have to browse the list or filter the list to find the asset.
    5. Under Asset Booking Rules, next to the day of the week you want to modify, click the Edit button .
    6. Modify the asset’s working hours:
      1. Select the dates that will be affected and click NEXT.
      2. Select the working hours that you want to modify and click NEXT.
      3. Next to START TIME, END TIME or NOTE, click the Edit button , make your changes, and then click NEXT.
      4. Select the Send email to affected client, the Send sms to affected client, and/or the Send push to affected client checkboxes to notify the client of the cancellation.
        • To customize the notifications:
          • Click Customize EmailCustomize SMS, or Customize Pushdepending on which notification you want to customize.
          • Make any required changes to the notification template. For more information on customizing email notifications, see Automated email template settingsand Email variables.
          • Click SAVE.
      5. Review your changes.
    7. Click COMPLETE. The asset’s working hours are updated.

    To cancel an asset’s working hours:

    1. Click the App Drawer button .
    2. In the App Drawer, click Setup.
    3. On the Setup menu, click BOOK-A-SPOT.
    4. In the list, click the asset for which you want to set the working hours.  You may have to browse the list or filter the list to find the asset.
    5. Next to the day of the week you want to modify, click the Cancel button.
    6. Cancel the asset’s working hours:
      1. Select the dates that you want to cancel and click NEXT.
      2. Select the hours that you want to cancel and click NEXT.
      3. Select the Send email to affected client, the Send sms to affected client, and/or the Send push to affected client checkboxes to notify the client of the cancellation.
        • To customize the notifications:
          • Click Customize EmailCustomize SMS, or Customize Pushdepending on which notification you want to customize.
          • Make any required changes to the notification template. For more information on customizing email notifications, see Automated email template settingsand Email variables.
          • Click SAVE.
      4. Review your changes. Set Display as canceled on schedule to ON or OFF.
    7. Click COMPLETE. The asset’s working hours are updated.
