Setting up your services for virtual hosting

With FitLIVE or a non-integrated virtual service provider, you can set up your appointments, classes, and events to be hosted virtually. Virtual services can be used to allow your clients to attend your services from their home or anywhere else in the world.

When setting up virtual services, please keep the following information in mind:

  • Your in-person class might show up as a virtual service on the schedule. This occurs when you schedule sessions for a virtual class and later change them to an in-person class. When this happens, you can resolve this issue by deleting the class sessions that were booked with Virtual service or This is a non-integrated virtual service option selected and rescheduling them with This is an in-person service
    • To prevent this from occurring again, we recommend you create separate classes for virtual and in-person sessions.
  • When hosting a virtual service, you shouldn’t modify the meeting passcode settings in Zoom as this may disrupt the link embedded within the Join Session button in WellnessLiving, making it difficult to start the virtual session.
  • If you want to allow your clients to book a virtual service through Google, you must enable Reserve with Google for your business or the location that provides the virtual service.

In this article:

    To set up an appointment type for virtual hosting:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Setup. You can filter the list by entering Setup into the Search field.
    4. On the Setup menu, click Services.
    5. On the Services menu, click Appointments.
    6. On the Appointments page, create, modify, or duplicate the appointment type that you will host virtually:
      • To create an appointment type, within the category of your choice, click ADD SERVICE.
        • At least one category must exist before you can create an appointment type. If no categories are listed, or if you want to create a new category, click ADD CATEGORY, enter a CATEGORY NAME, and then click SAVE.
      • To modify an appointment type, hover over the appointment type you want to modify and click Edit. You may have to browse the list, use the Search option, or filter the list to find the appointment type.
      • To duplicate an existing appointment type, click the appointment type you want to duplicate. You may have to browse the list, use the Search option, or filter the list to find the appointment type. Click DUPLICATE on the bottom right. The appointment type is duplicated and named Copy of [name of existing appointment type]. You can now modify the newly duplicated appointment type.
    7. Under DESCRIPTION, enter a description for the appointment. Zoom service descriptions should not exceed 2,000 characters. A longer description may result in errors when scheduling and hosting the service. If the number next to Characters remaining: is lower than 6,192, you must shorten the description.
    8. In Advanced Settings under In-person or Virtual Service, select from one of the following options:
      • This is a virtual service — This option is only displayed to businesses that are subscribed to FitLIVE. To learn how to configure FitLIVE settings, see FitLIVE settings.
      • This is an integrated Zoom virtual service — This option is only displayed to businesses that are using Zoom integration. When this option is enabled, you must select one of the following options:
        • Enable Zoom waiting room — Select this option to allow clients to access a waiting room before a Zoom session.
        • Disable Zoom waiting room — Select this option if you do not want clients to have access to a waiting room before a Zoom session.
      • This is a non-integrated virtual service – You must remember to add the virtual service URL for the session to the NON-INTEGRATED VIRTUAL SERVICE LINK field when you’re scheduling a session from the session setup page or from the schedule. For more information, see Booking an appointment.
    9. Enter or change any further details and settings for the appointment type. For more information, see Appointment type general information settings and Appointment type advanced settings.
    10. Click SAVE.

    To set up a class for virtual hosting:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Setup. You can filter the list by entering Setup into the Search field.
    4. On the Setup menu, click Services.
    5. On the Services menu, click Classes.
    6. On the Classes page create, modify, or duplicate the class type that you will host virtually:
      • To create a new class type, click ADD CLASS.
      • To modify an existing class type, click the class type you want to modify. You may have to browse the list, use the Search option, or filter the list to find the class type.
      • To duplicate an existing class type, click the class type you want to duplicate. You may have to browse the list, use the Search option, or filter the list to find the class type. Click DUPLICATE on the bottom right. The class type is duplicated and named Copy of [name of existing class type]. You can now modify the newly duplicated class type.

    9. Enter or change any further details and settings for the class type. For more information, see Class type general information settings and Class type advanced settings.
    10. Click SAVE to save the class type or SAVE AND SCHEDULE to save the class type and schedule classes immediately.

    To set up an event for virtual hosting:

    1. Click the App Drawer button .
    2. In the App Drawer, click View All.
    3. In the list, click Setup. You can filter the list by entering Setup into the Search field.
    4. On the Setup menu, click Services.
    5. On the Services menu, click Events.
    6. On the Events page create, modify, or duplicate the event that you will host virtually:
      • To create a new event, click ADD EVENT.
      • To modify an existing event, click the event you want to modify. You may have to browse the list, use the Search option, or filter the list to find the event.
      • To duplicate an existing event, click the event you want to duplicate. You may have to browse the list, use the Search option, or filter the list to find the event. Click DUPLICATE on the bottom right. The event is duplicated and named Copy of [name of existing event]. You can now modify the newly duplicated event and schedule its instances as a new event.
    7. Under DESCRIPTION, enter a description for the event. Zoom service descriptions should not exceed 2,000 characters. A longer description may result in errors when scheduling and hosting the service. If the number next to Characters remaining: is lower than 6,192, you must shorten the description.

    9.  Enter or change the details and settings of the event. For more information, see the Event general information settings and Event advanced settings.
    10. Click SAVE to save the event for later scheduling or SAVE AND SCHEDULE to proceed with scheduling the event.
