Why can’t I assign a staff member to a service?

Question

A staff member can’t be assigned as an instructor for a class, appointment, or event. Why can’t the staff member be assigned?

Before you begin

Answer

There are two possible reasons why a staff member can’t be assigned to a service. To resolve the issue, follow the instructions below. If the issue persists after completing these steps, please contact WellnessLiving Support.

The staff member isn’t associated with the service

If the staff member isn’t associated with the service, you need to review and update the service settings by following the directions below.

  1. Click the App Drawer button .
  2. In the App Drawer, click View All.
  3. In the list, click Setup. You can filter the list by entering Setup into the Search field.
  4. On the Setup menu, click Services.
  5. On the Services menu, click Appointments, Classes, or Events, depending on the type of service that you are trying to associate with the staff member.
  6. Click the service that you want the staff member to be associated with. You may have to browse the list, use the Search option, or filter the list to find the service.
  7. Review and change the service settings as required.
    • If the service is an appointment, modify the following settings:
      1. Under Staff, make sure the checkbox beside the desired staff member’s name is selected.
      2. Click Save.
    • If the service is a class or event, modify the following settings:
      1. Click MANAGE SCHEDULE.
      2. In the Action column, click the Edit button . The Edit Schedule page is displayed.
      3. Under What is being changed?, check that the desired staff member is selected next to the INSTRUCTOR field. If not, click the Edit button and select the desired staff member from the dropdown menu.
      4. Click NEXT.
      5. Under Are clients & staff impacted?, choose follow-up actions for clients and staff members affected by the modifications. This option won’t be displayed if no clients or staff members are affected by the changes. For more information, see Modifying a class schedule.
      6. Click NEXT.
      7. Under Confirm and finish, confirm your changes and click COMPLETE.
The staff member isn’t set up to provide the service

If the staff member isn’t set up to provide the service, you need to review and update the staff member’s profile settings by following the directions below.

  1. Click the App Drawer button .
  2. In the App Drawer, click View All.
  3. In the list, click Setup. You can filter the list by entering Setup into the Search field.
  4. On the Setup menu, click Staff.
  5. On the Staff menu, click Staff Members.
  6. Click the staff member who should be associated with the service.
  7. Click Services.
  8. Make sure the checkbox next to the service’s name is selected.
  9. Click Save.
