Viewing a client’s upcoming schedule

You can view a client’s future bookings on their upcoming schedule, which can be found through their client profile. From here, you can also reconcile unpaid visits.

In this article:

    To view a client’s upcoming schedule:

    1. On the Top Nav Bar, click the Search button , and enter the client’s information in the box. You can enter the client’s name, phone number, email address, UID, or client ID.
    2. In the list of clients displayed, click the client’s name.
    3. On the client’s menu, click Attendance.
    4. On the Attendance menu, click Upcoming Schedule. The list of upcoming services the client has booked are displayed.

      • To print the report, click Print.

    Summary cards in the upcoming schedule

    The summary cards at the top of the page provide an overview of the key information in the report.
    Summary CardDescription
    Total SessionsThe total number of sessions the client was booked into during the selected date range, regardless of their attendance status.
    ClassesThe total number of classes the client was booked into during the selected date range, regardless of their attendance status.
    EventsThe total number of events the client was booked into during the selected date range, regardless of their attendance status.
    Gym VisitsThe total number of gym visits the client was booked into during the selected date range, regardless of their attendance status.
    AppointmentsThe total number of appointments the client was booked into during the selected date range, regardless of their attendance status.
    AssetsThe total number of assets used by the client.
    Wait ListThe total number of services for which the client is on a wait list.
    Booking RequestThe total number of booking requests made by the client.

    Headings in the upcoming schedule

    FieldDescription
    Date and TimeThe date and time at which the service is scheduled to occur. The green icon Recurring booking icon indicates the booking has been paid for, while a red icon indicates the booking is unpaid.

    Note You can customize the view and choose whether to include the date and time at which the service is scheduled to occur in separate columns. For more information, see Viewing a report.
    Service DetailsThe name of the service, the location the service was booked at, and the individual who booked the service.

    AssetThe name of the asset booked for the service, if applicable. Click the View asset layout button to see the booked asset in context.
    Staff NameThe photo and name of the staff member who is scheduled to conduct the service.
    Paid WithThe payment status for the service.

    Click the Edit button to change the payment method or make a payment. See Reconciling an unpaid visit for more information.

    CapacityIf the service is a Class or Event, the number of available spots and the total number of spots in the service are displayed.
    StatusThe attendance status of the service. Statuses include Attended, Early Cancel, Late Cancel, No-Show, Booked, and Pending.

    Click the Edit button to change the client’s attendance status. For more information, see Changing a client’s attendance status.

    NotesClick the Notes button to view, add, edit, print, or delete SOAP or QUICK notes related to the service.
    ActionClick the More button The more button displayed at the top of reports. The button is a square with three vertical blue dots and a blue border. to alter the booking.

    Click the Early Cancel Session button  to cancel the session early. 

    Click the Cancel Session button to cancel the session. 

    Click the Cancel All Recurring Sessions button to cancel all recurring sessions.

    NoteVisits which are removed from the client’s attendance history will not display as visits in corresponding Client reports.
