Customer Spotlight: Highland Fitness and Wellness
Last Updated on 31 March, 2026
A Scarborough-based studio helping clients train smarter with personal training, group classes, and targeted programs that build real momentum.
1. Introducing Highland Fitness and Wellness
Highland Fitness and Wellness is a fitness studio in Scarborough, Ontario, led by co-owners Kim Panourgias and Matt. With a team of about 12 staff, Highland supports clients through a robust mix of services: roughly 10 different class types each week, 1:1 and 1:2 personal training, and a free new-client assessment to help people get started confidently.
They also run occasional longer-format programs, like a spring “Get Ready for Golf” six-week series, and they are exploring new offerings such as a mini small-group personal training commitment program.
2. Why They Chose WellnessLiving
Before switching, Highland ran day-to-day operations in Jane App, which Kim described as the system they live by for booking, scheduling, knowing where the trainers are, and who’s on the floor. Or at least they tried to. As the business began growing, it was clear that Jane App wasn’t cutting it anymore.
While she was nervous at first about whether moving to a new platform would be difficult for her clients, as Kim put it, “It can’t be harder than Jane.”
WellnessLiving stood out as the best fit for that next chapter, especially with its ability to better support their evolving service mix and operational needs. Now her software has all the modern tools she needs, like:
- online booking for individual trainings and classes
- streamlined marketing features for SMS messaging and email
- staff management dashboard with permissions and payroll
- in-depth reporting about class attendance, promotions, and more
- 24/7 AI front desk agent to assist clients anytime
3. What They’re Building
Highland is using WellnessLiving to bring its core workflows under one roof: online booking for classes, appointments, and programs; clean staff scheduling and permissions; and smoother client self-service. A major focus is recreating and improving their client onboarding experience with forms and waivers, since these are “an integral part of the client file for us.” Kim also wants lead capture to be seamless from their website, with forms that “auto-feed into WellnessLiving” using embedded widgets.
On top of setup, they’re planning a thoughtful migration from Jane, including importing 752 client profiles, transferring family relationships, and moving over purchase options and remaining credits. Their goal is to avoid downtime entirely, because, as Kim said, “We can’t live without our booking.”
4. What Success Looks Like
For Highland, success with WellnessLiving means a confident, clean, and practical transition period where Jane can remain as a backup while the team verifies everything. Long-term, they want to eliminate manual workarounds (including class pass tracking that may currently involve manual steps and QuickBooks), standardize their client onboarding workflow, and make it easier for staff to operate day-to-day without needing to understand every backend detail.
If everything goes according to plan, Highland’s clients will be able to book, complete required intake forms, and stay on track with their training with fewer friction points, while Kim and Matt gain clearer control over operations and reporting as the business keeps growing.
