Win Back Lapsed Summer Pilates Clients: Scripts, Offers, and Timing That Don’t Sound Desperate
Last Updated on 11 September, 2026
Your summer list is not a breakup. It is a calendar. People left for camps, heat, and travel. They did not need a 40% off reformer pack to remember you exist. They needed a human sentence and a first class that does not feel like a test.
This is a win-back sequence for Pilates studio owners sitting on quiet reformers. Not a guilt campaign.
Segment Before You Send
Pull attendance. Then split:
- Last visit 4–8 weeks ago: warm. One note from the teacher. Offer a specific class time.
- Last visit 8–16 weeks ago: cool. Studio voice plus a short on-ramp (private or semi-private + group).
- Last visit before Memorial Day, used to come weekly: cold-but-valuable. Personal note, then a 3-touch sequence. No blast percent-off.
- Used a 3-class intro and vanished: treat as a lead, not a lost member. Different copy.
The 3-Touch Cadence
- Day 1 — SMS or short email from the teacher. Specific class. No coupon.
- Day 4 — Studio email with the on-ramp offer and a bookable link.
- Day 8 — Last SMS. “Holding a reformer Thursday 9:15 if you want it. After that I’ll release it.” Then stop.
Offer Math That Does Not Sound Like Begging
Prefer a welcome-back private or a semi-private on the apparatus they already know over a blanket percentage. A 30-minute form reset plus two group classes is a door. “We miss you, here’s 25% off” is a clearance sign on a relationship.
Four Swipe Scripts
1. Teacher text, 4–8 weeks quiet
Hi Maya — it’s Jules at Northlight. I noticed we haven’t had you on the reformer since July. Thursday 9:15 still has your usual spring setting if you want it this week. Reply YES and I’ll book you. No need to start over.
2. Studio email, rusty-but-returning
Subject: Your reformer is still here.
Body: Summer got loud. The room got quiet. If you want back on a machine without a full class staring at your footbar, book a 30-minute welcome-back private with [teacher] this month, then two group classes at your regular rate. Link to Thursday and Saturday times. If now isn’t it, no speech from us.
3. Semi-private for two friends who disappeared together
You and Priya used to take Wednesday 6 p.m. If you want to ease back in together, we can hold a semi-private on the reformers Saturday at 10. 45 minutes, two of you, one teacher. After that, Wednesday is still there.
4. Apparatus / tower client who only came for the specialty session
The tower block is back on Tuesdays at noon. If Cadillac was your thing and group reformer was not, start there. I’ll put your name on one Tuesday this month. You can ignore this and I’ll assume fall is full of other plans.
What the Desk Should Not Say
- “We noticed you haven’t been in. Is everything okay?”
- “Last chance!!!”
- “Your membership lapsed so we have a deal.”
Say the class, the teacher, and the time. Let the person keep their dignity.
Do This in Marketing Suite, Not a Spreadsheet at 10 p.m.
Building three segments by hand and remembering to send three touches on the right days is exactly the kind of thing that gets skipped during a busy teaching week — which is why WellnessLiving’s Marketing Suite is built to run this sequence for you instead of asking you to run it yourself.
Marketing Suite comes with pre-built win-back automations, already tailored by AI to your business and triggered by real client activity (attendance, last visit date, package type) rather than a spreadsheet you update by hand. That means the warm, cool, and cold-but-valuable segments above don’t have to be rebuilt every month; the software already knows who’s drifted and for how long, and the 3-touch cadence can go out on schedule whether or not you’re on the studio floor that day.
AI Takes It To the Next Level
The tone doesn’t have to get lost in the handoff, either. ISAAC, the AI writing tool built into Marketing Suite, can tighten a teacher text or rewrite a subject line in seconds, so a script like the reformer note above still sounds like Jules and not like a corporate template. And because campaigns, lead tracking, and performance reporting all live in the same platform as your bookings and payments, you can see whether the Day 1 teacher text or the Day 4 email actually brought someone back onto the reformer — and a client who rebooks mid-sequence gets pulled out automatically, instead of getting a “last call” text after they’ve already returned.
That’s what a marketing suite is for — not a new personality for your brand, just the same three scripts firing on schedule while you’re teaching, not typing.

FAQs
-
How long should I keep emailing a quiet client?
Three touches. Then move them to a seasonal newsletter. More than that is nagging.
-
Should teachers see who is lapsed?
Yes, for the warm list. Teachers should not get a dump of everyone who has not paid since 2023.
-
Do I have to build this win-back sequence manually every time?
No. Marketing Suite’s win-back automation segments clients and sends the cadence automatically based on real attendance data, so it runs on schedule without you rebuilding lists or remembering send dates.
